Essential Duties and Responsibilities:


  • Nurtures positive and collaborative working relationships with other Agency staff as well as outside providers.

  • Implements the Agency mission, philosophy, core values to direct daily work and decision-making adheres to agency policy.

  • Cultivates a professional and respectful work environment.

  • Is actively involved and knowledgeable of the Agency's Performance Quality Improvement process.

  • Approves time sheets and ensures compliance with Agency and funder guidelines. Accountable for daily activities within the allowable activities approved by the Agency.

Essential Duties:

  • Fulfill role and responsibilities as assigned in the RACI Matrix. Plan and communicates on grants/contracts as detailed in the RACI Matrix. Monitoring and tracking of grants/contracts utilizing the RACI Matrix tools.

  • Responsible for developing record keeping and management systems, to facilitate communication, ease reporting and maximize outcomes. Formulate all program, operational, fiscal and/or personnel reports and assure submission by required deadlines.

  • Maintain role as liaison with citywide, community and neighborhood institutions, organizations and ethnic groups.

  • Keep abreast of economic conditions and developments in the sector, and inform administration of developments to ensure service quality and continuity. Conducts community assessments and prepares reports on findings.

Overall Program Administration for SAP:

  • Responsible for the integration of all program components and development of program schedule.

  • Responsible for promoting the achievement of program goals.

  • Responsible for maintaining a quality program that meets the needs of the children enrolled.

  • Leads the recruitment and enrollment efforts of children and families to the program.

  • Develops and sustain a program meeting schedule that facilitates communication and support amongst program staff, whether in individual or group settings.

  • Manages the selection, on boarding, and performance of staff.

  • Ensures participant and employee files are kept current and in compliance with COA, Licensing and agency standards.

  • Exercises accurate cash handling and record keeping duties in relation to program fees collected and monetary donations generated via fundraising activities.

  • Upholds positive guidance procedures for children who display behavioral challenges in the program and increases parent involvement and compliance of program guidelines.

  • Formulates program strategies that produce academic, psychosocial and health/fitness outcomes for participants. Creatively responds to the needs of the participants in these areas via curriculum, games, activities, group and individual engagements.

  • Encourages the engagement of parents, via the Parent's Committee, Food Experiences, field trips and family events.

  • Formulates reports and communication pieces for program stakeholders.

  • Work with Administrative departments to ensure recovery of revenue and compliance with funder budgetary guidelines, specifically CACFP, IDHS and AFC.

  • Support the PQI system through personnel's engagements in committees and program's compliance of PQI standards and schedules as it pertains to reports, evaluations and data collection.

  • Actively participate and contribute to a PQI committee

  • Using the Quality Improvement Cycle, develop, create, manage and execute annual work plans goals and objectives.

  • Ensure deliverables/indicators are delivered as agreed in executed contracts.

  • Prepare, plan and manage department's/program's budgets.

  • Keep abreast of economic conditions/situations in the sector, and inform Administration of developments to ensure service quality and continuity.

  • Monitor grants/contracts budgets to maximize the utilization of resources and communicate need for budget modification in a timely manner.

  • Strategically manages time of personnel, approves time sheets and utilizes time management tools to ensure personnel are in compliance with Agency and funder guidelines. Ensure staff is accountable for daily activities within the allowable activities approved by the Agency.

  • Performs other relevant duties as assigned and necessary.
