UW Medical Center-Montlake- Clinical Engineering has an outstanding opportunity for a PROGRAM COORDINATOR to join our team.
WORK SCHEDULE
40 hours per week
Day Shift
The Program Coordinator is responsible for performing various general office duties, entry of departmental database records, assisting the department leadership with Quality Assurance monitoring, assisting with managing service contracts and associated invoices, assist with collecting and organizing comparative information related to various equipment support options, and collecting and organizing budget performance information from various sources for manager review. The Program Coordinator reports to the Director of Clinical Engineering.
PRIMARY JOB RESPONSIBILITIES
Assist department Director and Manager.
Support Clinical Engineering department at both NW and Montlake campuses.
Service contract management program.
Create new purchase requisitions within Workday for new or renewal service contract both blanket and standard purchase order, as directed by the department Director or Manager.
Create new blanket invoice payment releases within Workday as directed by department Director or Manager.
Track contract expirations and renewals.
Coordinate parts room and essential supplies ordering and stocking.
Coordinate equipment surplus process, mail sorting, vendor alert and recall notification document processing.
Assist with collecting and managing contract information and quotes.
Assist with cost comparisons and collecting and organizing data for evaluation of most cost-effective support plans for equipment.
Track and process invoices against blanket PO's purchase orders in preparation for Manager's or Director's approval for payment.
Monitor and reconcile expected invoices vs those received.
REQUIRED POSITION QUALIFICATIONS
High school graduation or equivalent AND two years of experience in the program specialty
OR
equivalent education/experience.
