Job Description

The Office of Global Outreach and Extended Education (GOEE) in the Ira A. Fulton Schools of Engineering is seeking a Coordinator Sr. to support their global operations and global development portfolio. The position will split time supporting two multi-year projects: the Diversifying Semiconductor Supply Chains project through the U.S. Department of State's Bureau of Economic and Business Affairs, and the USAID Higher Education Partnership Initiative (HEPI). Under general supervision, the Coordinator Sr., Global Programs, will work as part of a team to implement and support these global projects according to predefined goals and objectives and will ensure execution in accordance with priorities, time and budget limitations. The Coordinator Sr. will provide support for global administrative and program operations, will work collaboratively with in-country project teams to achieve program goals, and will support the development of new global initiatives.

This position will collaborate and liaise between ASU and in-country implementation staff to support operations related to program startup and execution, including but not limited to in-country office operational needs; program budget, expense monitoring and allocation to appropriate accounts; program and event/activity planning, logistics and promotion; program assessment and reporting; participant registrations and enrollment, etc. The Coordinator Sr. will work with global stakeholders; therefore, occasional availability outside of normal U.S. business hours may be requested. Occasional domestic and international travel opportunities may also be available.

This position is based on the Polytechnic Campus of Arizona State University in Mesa. The position will report to the Program Manager of Global Programs within Global Outreach & Extended Education.

Working Environment

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND four years administrative/coordinate program experience; OR, Master's degree in field appropriate to area of assignment AND two years administrative/coordinate program experience; OR, Eight years of progressively responsible administrative/coordinate program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Essential Duties

  • Prepares periodic reports, financial statements, records on program activities, progress, status or other special reports and analyses for management or outside agencies.

  • Plans and executes programs and events in accordance with the pre-established mission, goals and objectives.

  • Supervises the activities of student employees to deliver programs per established guidelines.

  • Assists with background research for program preparation and budget proposals.

  • Assists and supports the monitoring of budget systems for controlling expenditures; procures materials and resources for programming and events; maintains tracking of personnel resources (consultants, experts etc.); manages submission of travel expenses and P-Card expenses.

  • Works with the GOEE team on spending and allocation of funding sources to meet ASU and sponsor policies and procedures.

  • Assists in the development and facilitation of meetings and conferences with high impact on program and/or participants, including coordination logistics, scheduling and participant communications.

  • Maintains direct contact with personnel of various outside organizations and university departments associated with scheduled functions and programs. May attend seminars, workshops and conferences.

  • Evaluates program effectiveness to develop and implement improved methods; devises evaluation methodology and implements; analyzes results and takes proper action based on outcome.

  • Demonstrates cross-cultural awareness and appropriate actions when working with all stakeholders.
