Your role:

Reporting to the Head of Software and Automation, the Program Coordinator / Chief of Staff will be responsible for coordinating key deliverables across and large and challenging program. This critical role will support the leadership team as the chief of staff; managing meetings and providing reviews on action items and minutes. This role will help with adhering to schedules for financial deliverables both internally and externally through the finance organization.

  • Manage and maintain the program portfolio process for a full SAFe implementation

  • Coordinating key deliverables to relevant stakeholders

  • Managing budget reviews on a monthly basis along with other key milestones for finance

  • Provide key communications to the organization for various leaders

  • Bring consulting experience to the head of software and automation for confidential decisions

  • Facilitate and manage Portfolio Management Process based on SAFe

  • Assist in creating reports for higher management to represent various aspects of the program

  • Prepare cost estimates and support financial aspects of Business Proposals and change order proposals

  • Support Business Finance Controllers in annual operating plans and forecast updates

  • Read, analyze and interpret contracts and related documents and apply information to invoicing and financial reporting practices

  • Assist management in taking strategic decisions

Who you are:

Basic Qualifications:

  • Bachelor's degree required plus 3+ years of related experience or a Master's degree in related field
  • 10 + years progressive experience in IT or Software development roles
  • 5 + years' experience in Project Management (combination or Waterfall and Agile would be ideal) including experience in planning, tracking and reporting
  • 3 + years' experience in working in a large Program Management Office including experience in Finance and Contract Management
  • 1 + years' experience in Portfolio management

Preferred Qualifications:

  • MBA or Master degree preferred

  • PMP and/or CSM certification preferred

  • Advanced Excel skills

  • SAFe experience preferred

  • SharePoint design and implementation experience preferred

  • Analytical mindset, critical thinking, problem solving, organization, attention to detail, leadership, clear spoken and written communication, active listening

ESSENTIAL DUTIES AND RESPONSIBILITIES: * Answers incoming calls and asks appropriate questions to assess patients needs. * Schedules new patient appointments with appropriate provider. * Provides patients with appointment details such as time, location, directions, and instructions to patients. Records call statistics in New Patient Log. Maintains and updates physician schedules ensuring that patients are scheduled properly. Works in conjunction with the triage nurses to accommodate scheduling requests. * Obtains patient demographic, insurance and other pre-visit required information. Enters patient information into computer systems. Verifies patient*s insurance eligibility and benefit coverage/co-pays with payer; verifies pre-authorizations are completed prior to patient visit. * May mail or email patient appropriate medical forms for completion prior to first visit. Proactively follows-up with patients on missing or outdated insurance information as well as copies of medical records and test results from other providers. * Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations. * Other duties as requested or assigned. MINIMUM QUALIFICATIONS: High School diploma or equivalent required. Associates degree in Finance, Business or four years revenue cycle experience preferred. Minimum three (3) years medical receptionist experience with insurance forms and scheduling software required. Knowledge of this practices personnel, daily routines, and scheduling a plus.
