Job Summary

The program coordinator role is visible within the startup community and will be a core team member of the Innovation Works' Software/AlphaLab group. S/he will have responsibilities across the group's activities, with a focus on the accelerator program and associated marketing and program development activities. S/he will be an active part of the accelerator application selection process and have the opportunity to work closely with the AlphaLab companies and founders during the AlphaLab program.

Responsibilities and Duties

Program Operations

  • Manage online application system (currently f6s) - includes creating content promoting AlphaLab Gear, updating online application and managing process workflows

  • Lead application marketing process by marketing application to interested groups, communication with applicants.

  • Organize interviews, participate in follow-up due diligence efforts, including competitive analysis and meetings with candidates, resulting in offers and ultimately investments in accelerator companies, consistent with organizational goals

  • Manage overall accelerator program calendar - including scheduling and execution of program and partner events including educational sessions, founders' lunches, mentor networking events, community events

  • Define and implement customer acquisition module as part of programming - including development of curriculum and scheduling of speakers, panels to help companies with customer acquisition

  • Manage company onboarding at beginning of accelerator program cycle - activities include digital onboarding (e.g. setting up shared drive folders, adding teams to online groups and lists), preparing space for move-in, ensuring adequate supplies for facility and individual offices, managing security codes, preparing onboarding packet.

  • Manage company off-boarding at end of program cycles.

  • Ensure continuous process improvement during program including online surveys, information capture for re-use and identifying other process changes

  • Provide administrative support as needed, including meeting scheduling, responding to requests for information, meetings, photocopying/filing (physical and digital), food ordering, and on-site event support.

Company Engagement

  • Participate in company office hours, leveraging experience and functional skills to assist companies on strategic business and product development plans, especially messaging, digital marketing (e.g. content strategy, social media, email campaigns), and working together as a team to help companies with product, user testing, customer acquisition, and Demo Day presentations.

  • Continue engaging with accelerator portfolio companies, post-program, to help with marketing-related and other company issues.

  • Manage and maintain our digital repository for companies with materials on product, customer acquisition, fundraising and networking

  • Manage and administer company benefits with partners such as Global Accelerator Network, Amazon, Google

  • Marketing and Communications

  • Lead outbound marketing for AlphaLab brand including digital properties (website, social media, email) while working with Communications team to integrate software messaging into overall IW messaging/branding

  • Support sponsorship strategy by interfacing with partners, groups on specific events, short-term sponsorship requests, planning and executing AlphaLab's role at relevant events

  • Manage and maintain current contact lists - Partners, Mentors, Alumni, etc. in contact management solutions

  • Maintain and enhance the look of the physical space - (e.g. photos, articles, decorations as needed to support and enhance AlphaLab brand)

Partner and Network Relationships

  • Support efforts to build networks (investor, corporate, mentor, alumni/entrepreneur) for Innovation Works by developing individual and organizational relationships especially beneficial to software portfolio companies. Ensure they are integrated into overall IW networks by collaborating with departments responsible for managing overall networks.

  • Lead engagement efforts for AlphaLab alumni network through communications, online methods and events (e.g. alumni lunches, office hours); integrate alumni network with broader network of IW entrepreneurs

  • Manage relationship with Global Accelerator Network - especially with GAN Perks, GAN Roundtables and online resources.

  • Represent Innovation Works, software group/AlphaLab at community and partner events, through attendance, participating and speaking.

Investment Strategy and Management

  • Support overall team recruiting strategy and efforts (e.g. accelerator and seed; key sources of companies) In particular, lead accelerator application marketing and participate in selection processes, including application office hours, review of applications, interviews, follow-up due diligence efforts, creating summary documents for review with IW senior management, and finalizing cohort (offers).

  • Ensure completion of Administrative (and CRM systems) requirements including state reporting, final client reporting, client surveys and site visits.

  • Internal Collaboration

  • Work collaboratively with internal partners (e.g. Communications team, Business Development) to execute on IW marketing strategy including branding, messaging, digital, and events

  • Participate fully on team discussions around accelerator and seed program design, planning and execution

  • Deliver against team and individual performance against KPI's around network development and engagement with companies.

Facility Operations

Responsible for facility operations, including working with administrative support, building management and cleaning vendors to ensure accelerator spaces are clean and safe

Manage on-site logistics - e.g. ensuring sufficient supplies are ordered and/or picked up

Qualifications and Skills

  • Bachelors degree in business or marketing-related field required.

  • Self-starter, high-energy, high-focus, willing to take initiatives

  • Needs to be flexible and adaptable in a fast moving environment.

  • Ability to lead projects independently, with minimal supervision

  • Demonstrated ability to simultaneously manage multiple projects and time-sensitive issues for various stakeholders (including portfolio companies) with time urgency while maintaining strong attention to detail, quality.

  • Strong interpersonal skills, leadership, teamwork, verbal and written communications are a must.

  • Comfort communicating with substance in a transparent, direct manner

  • The highest level of integrity and the ability to maintain confidential information are a must.

Preferred:

  • Prior experience working in a startup company or within startup ecosystem is important. At least 3-5 years experience preferred.

  • Experience in software-related domains, including customer acquisition methods, especially low-touch digital preferred.

  • Outstanding analytical skills a plus.

  • Online presence and passion for entrepreneurial/startup community is important. Demonstrated ability with building community and partnerships is preferred.

  • Ability to use productivity tools such as Google Apps, Slack, Survey Monkey, Calendly, Constant Contact, Salesforce, Dropbox are important. Individual should be comfortable using various social networks to promote AlphaLab, Innovation Works, its companies and to engage with the startup community.

Carnegie Mellon University's GSA is seeking a Program and Events Coordinator. In this role, you will work autonomously and in collaboration with groups of students, staff, and administrators. You will be ambitious, detail-oriented and a multi-tasker that can work closely with the GSA executives, the Office of Student Leadership, Involvement, and Civic Engagement, and the Office for Graduate Education to ensure that the GSA runs effectively and meets its long-term goals, as outlined by its Strategic Plan. Under the general supervision of the Senior Coordinator of Student Activities and the GSA President, you will be responsible for advising, financial management, and administrative support for all GSA programs and initiatives. Core responsibilities will include: * Provide day-to-day administrative support, advising, and ongoing training to seven GSA executive officers, as well as advocates (Families & Partners Advocate and International Student Advocate) and over 100 GSA committee members; * Arrange and support the execution of on- and off-campus events and advocacy initiatives, contracting with vendors, selling tickets, on-site event support, and managing volunteers; * Act as primary purchaser, making event purchases with university credit card, ordering supplies, completing purchase process in Oracle; * Oversee all room reservations and food orders for committee, general body, and ad-hoc meetings for the GSA; and * Maintain the organization of the office and its files, and provide and maintain institutional knowledge.
