Requirements

The Program Coordinator provides essential administrative and event support to the Undergraduate Program, including support for the Vice Dean for Undergraduate Affairs, the Senior Associate Dean and Director of the Undergraduate Program, Field Chairs, and BSFS advising deans. S/he works closely with faculty and other members of the BSFS team and the SFS Dean's Office. Reporting to a BSFS Associate Dean, the Program Coordinator has additional duties that include but are not limited to:

Scheduling and Administrative Support

  • Provides general administrative support to the Vice Dean for Undergraduate Affairs and Director of the Undergraduate Program, BSFS deans, Field Chairs, and other faculty affiliated with BSFS who have no other administrative support.

  • Coordinates BSFS meetings and activity schedules, working daily with the Director, the Vice Dean, and other team members to ensure the most up-to-date calendar and resolve any discrepancies and taking the minutes of the BSFS staff meetings.

  • Books travel (all related transportation air, rail, ground) and lodging as needed for individuals traveling on BSFS-related business.

  • Assists with follow-up on action items, including making phone calls, preparing documents, sending correspondence, and responding to emails.

  • Prepares reimbursements and related documentation, and works closely with the BSFS Assistant Director and SFS finance team on processing.

  • Works with the SFS Office Manager or other team members as needed in support of BSFS technology, supply, and facilities needs; represents BSFS to the SFS Office Manager and acts as the next point of contact after the front desk.

  • Coordinates the placement exam and the proctoring of the final exam for the required course, Map of the Modern World.

  • Monitors email accounts for BSFS and The Globe, responding or referring as appropriate.

  • Coordinates with SFS Communications to manage the BSFS website and works with the Records Administrator to manage electronic and paper forms.

  • Assists with the creation of BSFS promotional materials and hires BSFS student workers, including office assistants, Map TAs, Econ tutors, and others, providing hiring data and forms to the SFS HR team.

  • Coordinates the BSFS Deans Fund to process applications, serve on selection committees, and process fund disbursement.

  • Coordinates BSFS scholars' programs, including Krogh Scholars, Undergraduate Scholars, and Paul Pelosi Scholars: processes applications, schedules interviews, matches faculty, and facilitates stipend payments where applicable.

  • Schedules and proctors conflict exams and facilitates prospective student sessions as needed.

Event Coordination

  • Works with the Assistant Director to coordinate large-scale BSFS events, and organizes other events as needed for the Vice Dean, Director, and Field Chairs, including lunches and Dean's coffees.

  • Oversees scheduling, space reservations, invitations/advertising, catering, equipment, setup and cleanup, maintaining necessary equipment and supplies.

  • Assists with specific events including but not limited to NSO, Family Weekend, Major Declarations Fair, GAAP Weekends, Diplomatic Ball, Commencement, and others.

Requirements and Qualifications

  • Bachelor's Degree

  • 2 years of experience in administrative support and event management or closely related experience

  • Proficiency in technologies related to the duties of the position

  • Must demonstrate a high level of organization and attention to detail and a commitment to outstanding customer service

  • Experience in higher education and interest in international relations preferred

Requirements Director of Admissions, Center for Security Studies - Georgetown University Walsh School of Foreign Service The Director of Admissions is responsible for all matters pertaining to recruitment, admissions, scholarship, advertising, and as needed, special events for the Center for Security Studies (CSS)/Security Studies Program (SSP). S/he develops, implements, and monitors a comprehensive recruitment and communications plan designed to attract and retain an academically talented and diverse student body from the U.S. and overseas. In addition, the Director of Admissions manages and oversees application processes which include updating application materials, reviewing applications, supervising the admissions committee, and determining all final admissions decisions. S/he is also responsible for preparing advertisements and other publications, as well as managing program admissions content online. The Director of Admissions coordinates SSP scholarship procedures, including the awarding of scholarships, and administers scholarship awards with the Graduate School. The Director of Admissions reports to the Director of CSS and supervises the Assistant Director of Admissions and Alumni Engagement. Duties include, but are not limited to: CSS Admissions Management * Oversees all CSS admissions activity and the admissions team. * Develops, implements, and monitors a comprehensive recruitment plan, which includes travel planning, events management, prospective list generation, advertising of the program, communication with prospective students and applicants, and yielding admitted students. * Coordinates joint degree recruiting and admissions decisions with other GU departments and schools. * Manages and oversees application processing, identifies admissions committee members, supervises the committee, reviews all applications, and determines all final admissions decisions. * Coordinates yield of the admitted students to include communication with those that accept as well as keeping track of waitlisted applicants in order to reach enrollment targets. * Supervises Coordinator of Admissions and Student-Alumni Engagement. * Advises the Director, faculty, and deans on SSP admissions issues and provides updated statistical data for reports. * Oversees coordination of yearly recruitment events and other events for prospective and admitted students. * Liaises with other university offices as needed throughout the year. CSS Marketing * Designs and implements an annual marketing strategy through recruitment and advertising that heightens SSP visibility amongst its competitors, promotes SSP, and provides a positive impression of SFS and Georgetown. * Oversees updating and preparation of recruitment materials and advertising, and manages program admissions content online. CSS Scholarship Award Management * Oversees scholarship procedures, including the awarding of scholarships. * Coordinates scholarship awards with the Graduate School and keeps statistical data on scholarship awardees.
