The Program Coordinator provides essential administrative and event support to the Undergraduate Program, including support for the Vice Dean for Undergraduate Affairs, the Senior Associate Dean and Director of the Undergraduate Program, Field Chairs, and BSFS advising deans. S/he works closely with faculty and other members of the BSFS team and the SFS Dean's Office. Reporting to a BSFS Associate Dean, the Program Coordinator has additional duties that include but are not limited to:
Scheduling and Administrative Support
Provides general administrative support to the Vice Dean for Undergraduate Affairs and Director of the Undergraduate Program, BSFS deans, Field Chairs, and other faculty affiliated with BSFS who have no other administrative support.
Coordinates BSFS meetings and activity schedules, working daily with the Director, the Vice Dean, and other team members to ensure the most up-to-date calendar and resolve any discrepancies and taking the minutes of the BSFS staff meetings.
Books travel (all related transportation air, rail, ground) and lodging as needed for individuals traveling on BSFS-related business.
Assists with follow-up on action items, including making phone calls, preparing documents, sending correspondence, and responding to emails.
Prepares reimbursements and related documentation, and works closely with the BSFS Assistant Director and SFS finance team on processing.
Works with the SFS Office Manager or other team members as needed in support of BSFS technology, supply, and facilities needs; represents BSFS to the SFS Office Manager and acts as the next point of contact after the front desk.
Coordinates the placement exam and the proctoring of the final exam for the required course, Map of the Modern World.
Monitors email accounts for BSFS and The Globe, responding or referring as appropriate.
Coordinates with SFS Communications to manage the BSFS website and works with the Records Administrator to manage electronic and paper forms.
Assists with the creation of BSFS promotional materials and hires BSFS student workers, including office assistants, Map TAs, Econ tutors, and others, providing hiring data and forms to the SFS HR team.
Coordinates the BSFS Deans Fund to process applications, serve on selection committees, and process fund disbursement.
Coordinates BSFS scholars' programs, including Krogh Scholars, Undergraduate Scholars, and Paul Pelosi Scholars: processes applications, schedules interviews, matches faculty, and facilitates stipend payments where applicable.
Schedules and proctors conflict exams and facilitates prospective student sessions as needed.
Works with the Assistant Director to coordinate large-scale BSFS events, and organizes other events as needed for the Vice Dean, Director, and Field Chairs, including lunches and Dean's coffees.
Oversees scheduling, space reservations, invitations/advertising, catering, equipment, setup and cleanup, maintaining necessary equipment and supplies.
Assists with specific events including but not limited to NSO, Family Weekend, Major Declarations Fair, GAAP Weekends, Diplomatic Ball, Commencement, and others.
Requirements and Qualifications
2 years of experience in administrative support and event management or closely related experience
Proficiency in technologies related to the duties of the position
Must demonstrate a high level of organization and attention to detail and a commitment to outstanding customer service
Experience in higher education and interest in international relations preferred
