Description:

The Program Coordinator plays a key role in managing daily operations and administrative functions within the Division, contributing to the achievement of its strategic priorities. This role involves supporting a range of activities essential to the unit's overall operations, including regular engagement with external stakeholders and alumni. The Coordinator assists the academic team in hosting events, recruiting prospective students, and providing support to current students throughout the academic year. In addition, the Coordinator ensures smooth administrative processes by preparing and tracking documents related to faculty promotion and tenure, as well as offering support to the Division's leadership. The role also includes coordinating procurement and travel arrangements for faculty and staff. Success in this role requires excellent organizational/task management skills, strong written and verbal communication abilities, teamwork, and effective problem-solving skills.

Duties & Responsibilities:

Carry out purchasing and property accounting activities of the unit. Process travel expenditures and reimbursements in the Chrome River System and maintain all related records; make departmental purchases using P Card, T Card, and iBuy; reconcile transactions and maintain purchasing records. Work with faculty and vendors to set up purchase orders/contracts to support departmental activities and sponsored research; purchase and work with SPH IT to install computer software for faculty/staff. Responsible for equipment management and property accounting records in FabWeb for SPHPI and SPHW building. Assist Division Director and faculty with administrative tasks, including preparing documents and scheduling activities. Communicate with current and prospective students, faculty, staff, and other stakeholders via email and social media regarding departmental events, programs, and other strategic initiatives. Coordinate unit meetings and events, including logistics, communications, agendas, supporting materials, conference room reservations, and, when needed, arranging for catering and IT needs. Record meeting minutes. Oversee the planning and implementation of special events and perform other related duties as assigned.

Minimum Qualifications Required:

  • Bachelor's degree.
  • Must have purchasing, procurement and administrative experience.

Preferred Qualifications:

  • Strong interpersonal skills and ability to prioritize and effectively respond to requests for information and administrative support.
  • Excellent problem-solving skills that require the ability to identify problems, gather data, establish facts, and present valid conclusions in response to problems.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to take initiative; willingness to take on responsibilities and challenges; exercise independent judgment and discretion.
  • Knowledge of university business and finance policies and procedures.
