Rutgers, The State University of New Jersey is seeking a Program Coordinator II for the School of Engineering. Reporting to the Senior Program Coordinator for the Center for Advanced Infrastructure and Transportation (CAIT), this person performs professional-level work and supports technology transfer program activities. This position helps the higher-level full-time staff to coordinate events and is responsible for maintain recordkeeping related to training and outreach activities for the public works, engineering, and highway construction industries.

Among the key duties of the position are the following:

  • Maintains the Center's event management system and registrations for in-person and online training events.

  • Coordinates logistics for workshops, including facilities arrangements, catering, and interacting with instructors.

  • Facilitates workshops on and off campus. This position will use an online event management system to create workshop announcements and communicate with registrants.

  • Looks out for the best interests of the organization through keeping in tune with the training and technical assistance needs of the transportation community.

Qualifications

Minimum Education and Experience

  • Requires a bachelor's degree or an equivalent combination of education and/or relevant experience that demonstrates knowledge and understanding of the transportation industry, program coordination, and/or adult education.

Certifications/Licenses Required Knowledge, Skills, and Abilities

  • Must have excellent communication and customer service skills, and a strong proficiency in office applications required.

  • Requires knowledge of all computer programs and English language necessary to produce materials for mass distribution to market workshops and special events, as well as occasionally prepare articles for electronic newsletter.

  • Computer proficiency in Microsoft Office (Word, Excel, Access, PowerPoint) applications is critical.

  • This employee MUST have excellent written and verbal skills for external communication, including extensive customer service interaction.

  • Must be detail oriented, rigorous with follow up, and keep task originators informed on task progress throughout process until completion.

  • Must continuously notify supervisor of progress and workload to ensure that deliverables are on schedule.

  • Completes work under supervision of the Senior Program Coordinator.

  • Work is consistent with an understanding of the mission, vision, role, and goals of the technical, administrative, academic, and research units of NJLTAP and CAIT.

  • Must be skilled in the use of all Office programs and must be willing to learn and become skilled in the use of online registration and contact management software.

  • Will be required to learn Rutgers purchasing system and create requisitions and purchase orders, travel reimbursements, and course registration deposits when applicable.

Preferred Qualifications

  • Previous work involving extensive recordkeeping and coordinating events is preferred. A bachelor's degree in a field related to communications, outreach, or education.

  • Existing knowledge of the Rutgers University purchasing system is highly beneficial.

  • Experience with non-profit organizations, state, county or municipal agencies highly valued.

Equipment Utilized

  • Computer, printer, scanner.

Physical Demands and Work Environment

  • Must be flexible with schedule, workshops often require on-site attendance at or before 8:00 AM.

  • Requires occasional-to-frequent travel within New Jersey to attend meetings/functions/events and occasionally travel out of state to attend meetings/conferences/etc.

  • This position will require some flexibility in work day start and end times due to the logistical parameters of attending workshops and events. Some workshops are held virtually and will require monitoring for attendance and troubleshooting attendee connectivity issues.
