What we want

The IBT Office of the Executive Director has established an internal Clinical Research Program Support Office. As the program gets off the ground and continues to grow, we are looking for a new program support position to assist with daily programmatic operations. The Program Coordinator P9 would fill this support role at 50%. The other 50% of this position's duties will be the programmatic support of the Executive Director's large Texas Regional Excellence in Cancer (TREC) grant.

Required Education and Experience:

  • Bachelor's degree or an equivalent combination of education and experience
  • 2 years program-related work experience

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to multitask and work cooperatively with others.

  • Interpersonal and communication skills.

  • Planning and organizational skills.

Preferred Qualifications:

  • Prior experience working in a research or clinical administration setting.

Essential Duties/Tasks

Programmatic

  • Assists in the preparation and submission of new clinical trials/grants for both programs, including compiling program statistics. Assists in preparation of clinical trial or grant reports by compiling data for program leadership and IBT Associate Director. Maintains assigned building space for both programs, and reports updates to the Office of the Director Coordinates the creation, maintenance, and retention of files, records, and office supplies for the programs. Performs special analyses and project summaries for both program initiatives. Submits facilities/IT work requests as needed on behalf of program staff. Assists Clinical Research Program staff and TREC leadership with projects as required, including evaluation of the programs. Maintains and updates annual office/lab equipment inventory for both programs. Reviews and prepares documents for the programs. Attends meetings and seminars and takes notes for program leadership. Provides operational support for the IBT Clinical Research Program office and TREC program to include the exercise of discretion and independent judgement with respect to matters of significance.

Coordination

  • Coordinates the planning, development and implementation of program events such as conferences, seminars, lectures, meetings and workshops, including the annual TREC Symposium event. Coordinates travel arrangements for program staff and visitors (flight, hotel, transportation), including preparing travel requests/expense reports and itineraries. Coordinates the creation, maintenance, and retention of files, records, and office supplies for the programs. Performs special analyses and project summaries for both program initiatives.

Communication

  • Serve as a liaison between the program leadership, other TAMU components and funding organizations. Serves as primary point of contact (internal and external) for both programs.

Coordinates program communications and marketing, including the TREC website and Clinical Research Program webpage and related social media. Drafts and manages correspondence, communications, and reports for the programs. Researches, interprets, compiles, and responds to inquiries about guidelines, policies, rules, regulations, and procedures for the programs.

Purchasing & Fiscal Support

  • Assists in preparation and monitoring of budgets for programs and events. Pays invoices for and tracks participant compensation for the Clinical Research Program.

Reconciles program Procurement and Travel cards monthly. Purchases supplies and equipment required by both programs, including off-campus clinical trial sites. Prepares and submits accounts receivable invoices for program-related services to customers.
