SALARY: $40,512 - $45,552

LOCATION: Monroe, Washington

DESCRIPTION:

The Program Coordinator supports the Edmonds College mission, 'Teaching | Learning | Community' by supporting faculty (approximately10 per quarter), students and staff in all areas related to program support, schedule development and general office support, in a very fast paced and timeline driven environment. Under general direction, perform work using knowledge and experience specific to the program. Exercise independent judgment in interpreting and applying rules and regulations. Independently advise students, staff, program participants and/or the public regarding program content, policies, procedures and activities; select/recommend alternative courses of action.

This is a classified staff position reporting to the Administrative Services Manager.

This posting is for a pool. Individual position responsibilities may vary. Responsibilities include:

  • Provide information and advice to students, staff, program participants and/or the public regarding program content, policies and activities, recommend alternative courses of action; promote the program on campus with outside organizations.

  • Attend meetings and/or conferences as program representative.

  • Confer regularly with representatives of off-campus organizations and agencies regarding the interpretation and implementation of program and institutional policies.

  • Monitor program activities in relation to established program goals; within established program parameters, determine variance from program standards.

  • Use word processing, graphics, statistical, spreadsheet and/or database software.

  • Perform complex scheduling including independently prioritizing needs of program clients.

  • Participate in division projects as assigned.

  • Ability to work and interact effectively and collaboratively with faculty, staff, external partners, and students from diverse backgrounds, specifically justice-involved individuals

  • Demonstrated ability to handle sensitive information and communications in a confidential manner, both internally and externally, and security mindset to operate in a correctional facility

  • Maintenance of several program Google Sites and department web pages, back up for Division Sites and web pages.

  • Purchasing, budget tracking and reconciliation for programs.

  • Coordination of Quarterly/Annual class schedule development process which includes coordination of class schedules, rooming, and faculty assignment.

  • Data clean up, entry and validation using PeopleSoft.

  • Communicate and notify students of schedule changes and class cancellations.

  • Support projects, budget process, front office coverage and other duties as assigned.

  • Any other responsibilities from the supervisor.

REQUIRED QUALIFICATIONS:

  • Associate's Degree, OR a high school diploma and experience sufficient to successfully perform essential job functions.

  • Ability to provide administrative/office support with significant use of technology, office operations, and customer service interactions.

  • Excellent ability to use Google Applications (minimum: intermediate skills with Mail, Sheets, Docs, Drive; basic skills with Sites, and Groups) and Microsoft Office.

  • Must successfully complete NCIC background check.

  • Must successfully complete all Department of Corrections required training.

DESIRED QUALIFICATIONS:

  • Exceptional attention to detail and organizational, record keeping and documentation skills with the ability to effectively manage multiple priorities and meet deadlines.

  • Effective verbal and written communication skills.

  • Demonstrated ability to maintain and update a website and Google site.

  • Demonstrated ability to work effectively with culturally, ethnically and economically diverse populations.

  • Experience working in a correctional environment or an understanding of a prison environment.

PHYSICAL WORK ENVIRONMENT:

Work is typically performed in an office setting and requires using a computer. Excellent communication skills, both oral and written, are essential. This includes the ability to speak clearly and fully comprehend written and spoken English, and will include communication with people for whom English is not a native language. Work will be performed in a correctional environment where the potential for violence exists. The employee must successfully complete the Correctional Worker Core training provided by the Washington State Department of Corrections, as well as annual in-service training.

WORK SCHEDULE

40 hours per week, Monday

  • Friday, 7:30 am

  • 4:00 pm or 8:00am

  • 4:30pm. Hours may vary depending on department needs.

COMPENSATION:

Salary range 40. Beginning salary is $40,512 - $45,552 annually, with periodic increments to $53,964 annually plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options and more. Vacation and leave package includes 12 sick days per year, 11 scheduled holidays, 1 personal holiday, 2 personal leave days, and 14 vacation days per year (incremental increases to 24 vacation days per year).

CONDITIONS OF EMPLOYMENT:

  • You must document your citizenship or employment authorization within three days of hire.

  • Criminal background check. Prior to a new hire, a background check including criminal history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.

  • All new positions are contingent upon funding.
