Position Summary

This position works with the following departments:

  • Engineering and Physics

  • Math and Computer Science

  • Theater

Core Responsibilities

Administrative Support | 35%

  • Assist in all aspects of ongoing department reviews, publications, and accreditation work.

  • Assist department chairs in producing course schedules, faculty contract loads, and relevant updates to the university website and catalog.

  • Onboard new faculty members and returning adjuncts/lecturers.

  • Coordinate, gather, process, and distribute scholarship information.

  • Assist with planning, coordination, and implementation of departmental, program, or CAS lectures and activities; book travel, process contracts, maintain visit itineraries, and advertise events.

  • Support faculty job searches, including coordinating on-site candidate visits and travel arrangements.

  • Coordinate travel arrangements for faculty and sponsored student travel.

  • Coordinate communication between faculty and students using flyers, Blackboard, and emails.

  • Take and distribute minutes for department meetings.

Supervisory Duties and Fiscal Support | 35%

  • Hire, train, and supervise student workers; coordinate employment process, including entry of work authorizations, management of timecards, notices, etc.

  • Monitor, track, and forecast departmental and program budgets; advise on purchasing decisions.

  • Process check requests, purchase orders, and reimbursements; complete monthly purchasing card reports for faculty as needed.

General Office Support | 25%

  • Coordinate university support services with registrar, bookstore, Financial Aid, information technology, food services, business office, academic affairs, print shop, publications, etc.

  • Coordinate arrangements for classroom and office needs for departmental faculty.

  • Provide technological support using the Internet and Microsoft applications, including the use of office machines in the departments.

  • Provide logistical support for other campus duties and projects of department faculty.

  • Create and maintain physical and/or electronic files, archives, and reports for the departments, as needed.

  • Coordinate service of building-specific facilities and administer requests for facilities and other university support services; designated as building monitor.

  • Maintain office supplies for department work rooms, including printer maintenance as needed.

  • Oversee the process of ordering textbooks, desk and exam copies, and library materials.

Other | 5%

  • Provide back-up administrative support for the Honors Director.

  • Assist with CAS projects

  • Perform other related duties as assigned.

  • Demonstrated proficiency with Microsoft 365, and Adobe.

Schedule

Full-time (.75 FTE) | 9-months | 40 hours per week

Start date: August 16, 2024
