JOB TITLE: Program Coordinator


REPORTS TO: Director of Training and Transition

JOB PURPOSE: Coordinate the implementation of Summer Programs and act as lead Center staff for the Bridge to Success program. Provide case management, vocational training, and transition services in collaboration with other employment programs to further client goals.



  • Coordinate and perform client intakes and vocational training services as needed.

  • Communicate program progress and outcome measurements with clients, families, business partners, and funders.

  • Develop community and business partnerships to assist with program sustainability

  • Collaborate with support teams regarding client assessments, interventions, data collection, and the development of individual support plans

  • Assure timely completion of all daily, monthly, and annual required documentation


  • Coordinate summer client intakes and site selection across three summer programs

  • Ensure that all program documentation is collected, scanned, and submitted in a timely manner

  • Participate in the interviewing, hiring, and supervision of seasonal staff

  • Attend all summer program meetings with funders and partner agencies

  • Develop and maintain positive business partnerships for training sites

  • Maintain communication with client's parents or guardians regarding program progress.

  • Provide worksite orientation and instruction to clients and seasonal staff.

  • Assist with job accommodations and incorporate strategies as needed (i.e., task analysis, pictorial tools) to assist client with learning and retention of required job tasks.

  • Complete all required paperwork and documentation.

  • Assure compliance and maintain standards as outlined by CARF and appropriate federal, state and local regulations.

  • All other jobs responsibilities as specified by supervisor.

  • Familiarize self with and follows Facility and Department Policies and Procedures.

  • Follow all personnel policies.


  • Work under the direction of BTS program leadership

  • Provide on-site vocational training supports to students in the BTS program in the following areas:

  • Assist with compensation training incorporation of strategies as needed (e.g. task analysis, pictorial tools) to assist learning and retention of required job tasks.

  • Secondary job responsibilities- calling in procedures, clocking in/out, navigation of employer intranet (if applicable)

  • Assistance developing transportation plan(s)

  • Appropriate social skills

  • Collaborate with on-site program staff on the completion of Task Analysis data

  • Attend student IEP meetings and parent teacher conferences.

  • Provide case management to BTS students graduating the program, this can include ongoing vocational training, job development services, or other Center services.

  • Complete all required documentation of services

EDUCATION/EXPERIENCE: Bachelor's degree in related field preferred. Vocational rehabilitation experience or experience working with youth with disabilities strongly preferred. CPR & First Aid training required. Must have excellent interpersonal communication skills, strong organization skills, and flexible to changing environments. Good writing and basic computer skills preferred.

Job Summary: The Program Coordinator is responsible for understanding and keeping current with regulatory requirements for the following subsidized programs, public housing, Housing Choice Voucher (HCV), Project Based Voucher (PBV), Project Based Section 8 (PBS8) and RAD. The Program Coordinator is responsible for verifying regional compliance. Also responsible for assisting in establishing regional policy for compliance and assisting in the training of site staff on PHA related policies and procedures. Relationships: This position reports to the Regional Director, retains relationships with peers and all other departments within the company, maintains relationships with current Housing Authority Asset Manager and other respective departmental leaders. Essential Job Functions and Responsibilities: Please note that the essential job functions listed here are not all-inclusive, rather they indicate the types of activities normally performed by this position and, therefore, may be modified and revised. Other duties may be required and assigned from time-to-time. * Conduct routine compliance audits of all programs in the MBM Yardi system and the agencies system, pending we have access. Communicate with Site teams and area leadership when deficiencies are noted. * Cross reference MBM and Housing Authorities operating systems to ensure data is consistent. * Assess staff and determine what training might be necessary for local teams to perform operational tasks satisfactorily. * Lead training resulting from aforementioned assessments. * Review monthly reporting to identify revisions, corrections needed. * Attend monthly management meetings with local PHA and or other program coordinators. * Monitor program vacancy days for region and ensure communication and follow up with Area leaders when units are approaching set vacancy thresholds. * Assist in resolving PIC discrepancies when notified by HUD. * Compile and report monthly or quarterly data sets to housing authority as requested. * Develop action plans with Regional and Area Managers for non-compliant properties. * Review and implement utility allowances, rent increases, and rent limits. * Conduct quarterly file audits to ensure program compliance with necessary documents, signatures and other requirements. Qualifications * Knowledge of HUD multifamily and public housing policies, procedures, assessment systems, dwelling unit requirements and all phases of low-income public housing programs; applicable federal, state, and local laws, regulatory codes, ordinances and procedure. * Required knowledge, skills and abilities for this position would normally be gained through the equivalent of three (3) years of related experience. Knowledge of public housing and/or contract management and other programs as referenced above is preferred. * Must be a self-starter and solutions driven. * Must be organized, and able to set priorities and meet deadlines. * Ability to multi-task while being detail oriented. * Must have a valid Driver's License from the State in which employed. * Must have reliable transportation.
