This position will provide coordination and support for the Money Follows the Person (MFP) program and MFP Project Director. Duties include operational activities, communication, project management, and quality improvement initiatives, while also providing leadership and supervision to ensure the effective functioning of the program and its team members. Extensive travel throughout Iowa will be required, including overnight as needed, as well as the ability to maintain a home office with high-speed internet. There may also be opportunities for travel out of state. State vehicle provided. This is a specified term position with a current end date of 3/31/2025 with strong likelihood of renewed funding.

This position is eligible for remote work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

  • Coordinate the transfer of scheduling information from University to Iowa Health and Human Services (HHS) systems.

  • Organize and prioritize emails in the general MFP mailbox for the Project Director's response.

  • Create and submit monthly reporting to various entities.

  • Oversee the development and management of SharePoint resources and electronic files.

  • Coordinate meeting logistics, including agenda preparation, note-taking, and distribution. Prepare meeting documents such as minutes, letters, reports, surveys, and spreadsheets. Proofread and edit documents before distribution.

  • Attend meetings, take comprehensive notes, and summarize key points for distribution.

  • Respond to requests for data and information from MFP program personnel.

  • Utilize project management strategies to oversee and execute projects assigned by the Project Director.

  • Complete tasks supporting MFP participants' transition to Waiver funded services.

  • Develop and implement processes to ensure broad and meaningful stakeholder input.

  • Develop and implement quality assurance and process improvement activities for programs and services.

  • Support marketing initiatives by ensuring sufficient print materials and conference materials are available, including brochures, flyers, and necessary conference resources.

  • Utilize desktop publishing software and other tools to design various materials, such as publications, forms, reports, and marketing collateral, ensuring adherence to branding guidelines and state/federal requirements.

  • Act as a point of contact and facilitate communication between grant and contract programs and external stakeholders, ensuring effective information dissemination and collaboration.

  • Establish and manage social media presence for the MFP program on designated platforms, curating content and engaging with followers to enhance outreach and awareness.

  • Create presentation slide decks based on provided outlines, incorporating appropriate branding elements to maintain consistency and professionalism, and adhering to applicable state/federal requirements.

  • Assure program's compliance with funders' requirements and UI and UIHC policies and procedures.

  • Conduct regular file clean-ups and updates to ensure organization and accessibility of documents, as well as accuracy of information.

  • Prepare and/or review documents for language, formatting, and accuracy, ensuring adherence to standards and guidelines.

  • Create and update documents such as Frequently Asked Questions (FAQs) to provide clear and accessible information for program stakeholders and internal personnel.

  • Periodically review links within Standard Operating Procedures (SOPs) to verify functionality, conducting reviews on a quarterly or periodic basis to ensure accuracy and accessibility.

  • Create and maintain a schedule for regular review of the program's governing documents. Assist with document revision.

  • Coordinate and support onboarding and retention activities for MFP program employees, collaborating with direct supervisors.

  • Support internal communications for effective execution and participation from team members.

  • Provide supervision and guidance to the Admin Support Coordinator, overseeing task assignment, performance management, and other relevant aspects of their role.

Required Qualifications:

  • Bachelor's degree in related field, or an equivalent combination of education and experience is required.

  • Minimum 1 year of experience supporting the daily operations of a program.

  • Demonstrated exceptional organizational skills, showing the ability to handle multiple tasks, establish priorities and meet deadlines.

  • Proficiency in MS Office software applications, including Word, Excel, and Outlook.

  • Demonstrated excellent written and verbal communication skills, including experience or capacity to demonstrate positive interpersonal skills and work as a cooperative team member.

  • Ability to travel and work a flexible schedule when required

  • Hold a valid Driver's License, plus the ability to meet the University of Iowa Fleet Safety Program driving standards (University of Iowa Operations Manual Part V, Chapter 19)

Desired Qualifications:

  • Demonstrated knowledge of and experience with managing a professional social media account.

  • Experience designing publications, forms, reports, and marketing materials using Desktop publisher or other formats and software programs.

  • Experience working in a position requiring excellent and timely customer service.

  • Experience working with data collection and management processes.

  • Experience working with and/or knowledge of mental health and/or disability services programs and disability services public policies at the state or federal level.

  • Previous experience providing coordination and support to a grant-funded program.

  • Proficiency in MS Office software applications Planner, One Note, and Teams

  • Knowledge of University of Iowa and UI Healthcare policies, procedures and regulations.
