Job Description:

Summary/Objective

The Program Coordinator in the Office of Career Development (OCD) in the School of International Service (SIS) supports the career development of approximately 2,000 undergraduate and graduate students by providing primary program and event support, and managing office communications, social media, website management, and marketing.

1.Program Support: This position is responsible for the oversight of the day-to-day operations of the activities associated with SIS Office of Career Development, including providing support for administrative needs, programming, and outreach to students, alumni, and other stakeholders. This includes:

  • General office operations: Respond to student, faculty, staff, and external emails and phone calls to main office inbox and voicemail; manage SIScareer Outlook calendar with team programming and regular meetings; maintain and purchase office supplies (or secure those available from HUB); manage details for team celebrations including staff birthdays, restaurant reservations, and other logistics.

  • Collection and communication of key data regularly: Assist Director of Career Education and Employer Relations in collecting, analyzing where possible, and presenting back key themes of data monthly from our programming and advising in Handshake, reporting on who we are reaching and who we are missing, and where we've been successful and where we can improve, especially in relation to graduation outcomes and engagement. As needed, run data reports in Business Intelligence (BI)

  • Office information systems: Keep shared file folders and digital record keeping organized, maintaining accurate information so it is readily and easily available for all team members to access.

  • Strong relationships with partners: Maintain collaborative relationships with a variety of stakeholders across SIS (including SIS Departments, Academic Advising (undergraduate and graduate), International Programs, Online Programs, Graduate Admissions, Undergraduate Programs, and more), and AU (including AU Career Center, Kogod Office of Career Engagement, Washington College of Law Office of Career Engagement and Professional Development, and more) to support programs and maximize career development opportunities for SIS students.
    2.Program Events: This position supports the execution of programming and events including managing event promotion, handling event logistics, tracking individual event budgets, tracking and inputting accurate attendance at events, managing feedback surveys, and other needs, as they arise and depending on the event. These functions may be performed independently at times, as well as in collaboration with the Assistant Director for Programming. Specifically this includes:

  • Event promotion: Assist Assistant Director in designing and creating program marketing materials, which may include designing graphics and editing videos, and promoting events on office's official social media accounts (Instagram and LinkedIn). Monitor event registrations to increase promotion where needed to maximize attendance.

  • Event logistics: Handle room bookings, catering, printing, posting signage and other logistical needs as they arise, and depending on the event.

  • Event budgets: Assist Assistant Director with budget and expense tracking for events, ensuring expenses are within budgeted limits, and following up on payments.

  • Event attendance: Keep current lists of student engagement in events, workshops, appointments, and other programs and input into Handshake and other sources where necessary.

  • Feedback surveys: Design, distribute, and collect survey responses from students, post-event and post-advising; organize reporting back major findings to team.
    3.Communication, Marketing, and Website: The Program Coordinator manages communications and marketing for the office, including website revisions, and overseeing student workers. Specifically this part of the role includes:

  • OCD communications and marketing: Assist Assistant Director in creating and executing regular social media (Instagram and LinkedIn), career e-newsletters, and targeted emails, with the goal of reaching 100% of undergraduate and graduate students, and where applicable, alumni. As possible, streamline messaging for different groups of students around wealth of career programming offered across SIS and campus to "cut through the noise" and help students learn about and engage in the highest impact career development activities for them, and build community with our office to maximize engagement. Prioritize how to reach historically underrepresented groups who have typically had more barriers with successful career outcomes.

  • Website: Update OCD website regularly with most current programming information as requested by other team members. May include organizing transcription via paid services of some programming videos to go on the website in accordance with accessibility standards. Consult with student and pro staff OCD team to make suggestions to improve our web presence.

  • Student workers: Position may hire, train, supervise, and motivate student workers (15 hours/week each, Federal Work Study).
    4.Special Programs and Other Duties as Assigned: This position supports the Director of Career Education and Employer Relations and the rest of the OCD team and will assist with other duties/projects as assigned. Specifically, this may include management of the OCD Listening Project to conduct 1:1 interviews and surveys with SIS students and alumni to better understand their current career needs so we can reach them.

  • This position reports to the Director of Career Education and Employer Relations for SIS.

Position Type/Expected Hours of Work:

  • Full-time.

  • Non-Exempt.

  • 35 hours per week.

Salary Range:

  • $29.51/hour.

Required Education and Experience:

  • Bachelor's degree.

  • 2-4 years of relevant experience* of progressively responsible work in a professional setting or role providing administrative and/or event support, especially serving Generation Z and Millennial groups.

  • Skilled in communicating orally and in writing with students, faculty, staff, and external stakeholders.

  • Proven track record of successfully working with diverse communities and creating programs to address needs of BIPOC, first generation, LGBTQIA+, international student, female, and other underrepresented communities. Strong multicultural competency and demonstrated ability to foster an inclusive climate for all stakeholders (e.g., students, staff, faculty, organizations, employers).

  • High level of professionalism and exceptional interpersonal skills.

  • Self-starter and team player able to implement projects independently using strong organizational and time management skills in a fast-paced environment.

  • Excellent attention to detail.

  • Strong flexibility, openness to change, and capacity to be energized by new ideas.

  • Demonstrated ability to collaborate cross-functionally and to establish rapport and relate well to a diverse population of students, employers, faculty, alumni, colleagues and other constituents.

  • Experience supervising and/or managing student workers/interns/ part-time staff

  • High level of proficiency in web-based tools and platforms (content management systems, SurveyMonkey, Outlook)

  • Proficiency in Microsoft Office applications, especially Word, PowerPoint, and Excel.

Volunteer, unpaid, and/or student employment helps build critical competencies, knowledge, and skills, and can provide valuable training and experience that translates to paid employment. Candidates will receive credit for all relevant experience.

Preferred Education and Experience:

  • Experience working with students and alumni in a competitive higher education environment.

  • Experience in international affairs, career development, student affairs, or another relevant field.

  • Experience collecting, analyzing, and presenting major themes in data.

  • Experience managing social media accounts, newsletters, and other content for publication.

  • Experience using Handshake or another career services management platform.
