Position Summary:

We have an exciting opportunity to join our team as a Program Associate.

In this role, the successful candidate will be responsible for performing administrative tasks related to embryology and andrology lab services including inventory management, performance and documentation of QA activities, stocking, purchasing, verification of schedules, meeting management and other admin duties as assigned. Detail oriented data entry and functionality with laboratory software is a must. Team oriented workflow.

Job Responsibilities:

  • Documents all aspects of laboratory procedure in the appropriate written and computerized transcription formats. Ability to accurately enter data into and retrieve data from a predetermined database and medical record.

    Requires familiarity with PC based programs i.e. Excel, Word and Powerpoint.

  • Basic Procedures Under the direct supervision of senior staff and management, assist with the maintenance of inventory for stored gametes, scanning consents and release forms, interacting with labs for transport and records exchange

  • Order and receive lab supplies per protocol

  • Quality Control

  • Documents and records information related to QA/QI activities.
  • Performs other duties as assigned.

Minimum Qualifications:

To qualify you must have a Associates' Degree is required. Minimum of 1 Year of related experience in an office setting or the equivalent combination of education and experience.

Effective Oral, written communication and interpersonal skills. Computer Skills

  • Working knowledge in the use of Microsoft Office Word, Excel, Power point and Access. Ability to develop basic formulae for spreadsheets; set up routine computer procedures; Ability to access e-mail, electronic calendars, and other basic office support software.

    Ability to proofread documents and write clear, concise 1st draft. Ability to type at a speed of at least 45 net words per minutes. Knowledge of standard office practices.

    Ability to multi-task while paying attention to details. Ability to use standard office equipment such as copy machines, multi-line telephones, fax machines.

Preferred Qualifications:

Administrative and customer service experience

Qualified candidates must be able to effectively communicate with all levels of the organization.

In this role, the successful candidate Position Summary: Under supervision of the Embryology Supervisor and direction of the Sr. Embryologist and Lab Director, performs cryoinventory control and management of all frozen specimens. Also interfaces with the research and ancillary components of the IVF Program. Job Responsibilities: * Entering cryoinventory into Fert database and laboratory management system as per prepared protocol as per Andrology and Embryology laboratories. * Receiving intake and shipping out frozen specimens with appropriate consents and documentation and appropriate information sharing with affected departments * Identifying and tracking specimens to be discarded per disposal consent; to be donated to research per disposal consent Identifying and tracking specimens to be discarded per pgs aneuploid/ affected consent Identifying and tracking specimens to be donated to research per pgs aneuploid/ affected consent * Maintaining cryostorage tanks Ordering and ensuring sufficient LN2 supplies Maintaining alarm system and checking tanks sensors * Perform witnessing of specimens and sample identification verification, exhibit full understanding of consents and options for specimen dispositions. * Accurate and timely data entry into EMR Documentation /Reporting: 1. Perform accurate data entry and management of data to ensure data can be accurately retrieved from a predetermined database. 2. Use and management of PC based programs, i.e., Excel and Access. 3. Manage cryostorage record-keeping and reporting * Close working with Embryo Options and NYULH Billing department to ensure proper invoicing of storage charges Identify and tracking specimens that have been 'abandoned' due to non-payment of storage and initiating procedures for the disposition of these specimens * Speak with patients to answer storage-related inquiries and if necessary, generate and send forms requested by patients who are interested in transferring specimens to or from NYUFC or who wish to discard or donate specimens to research * Manage discard of fresh and cryopreserved specimens in accordance with patient consent/ request o Manage the transfer of discarded tissues for research purposes in accordance with patient consent/ request * Judgment/Decision Making 1. Seek information and ask for assistance from senior personnel when necessary regarding difficult or questionable clinical results. 2. Report untoward result or incident to senior personnel and prepare documentation as requested. * Managing disposals/ donated to research with supervisors or Lab director * Review and manage regulatory and compliance issues related to shipping frozen eggs and embryos to outside facilities under the guidance of the Lab supervisor or Lab Director * Quality Control- 1. Dispose of biological specimens in designated hazard containers. 2. Report malfunctions to senior personnel promptly. 3. Follow departmental procedures and instructions. 4. Perform all tests utilizing universal precautions for bloodborne pathogens and in accordance with procedures developed by the Program management. 5. Verify status of patient consent compliance related to cryo inventory procedures. * Additional Performance Standards: 1. Adhere to School of Medicine and Departmental guidelines concerning rules of conduct, safety, security and patient confidentiality, etc. as outlined in the Employee Staff Handbook. 2. Maintain a professional appearance; wears identification badge at all times. * Initiative 1. Assume responsibility for on-going professional development and continuing education 2. Volunteer assistance to others when assigned work is completed. 3. Seek additional tasks when assigned work is completed. 4. Demonstrate the ability to recognize and deal with priorities Minimum Qualifications: To qualify you must have a Requirements: Bachelor's Degree or equivalent in a biological science or relevant specialty. Experience of 1+ years in a clinical laboratory setting with proven analytical skills is an advantage. Excellent written and spoken communication skills with ability to interact appropriately with patients, physicians, nursing staff and co-workers. Has demonstrated ability to function as a team player. Ability to work weekend as a schedule rotation when required. Ability to obtain and maintain NYCFDC14 certification within 4 months of hire. Preferred Qualifications: Experience in an embryology laboratory with 1-2 years experience.
