Overview

Princeton University Advancement's office of Donor Relations seeks a Program Associate to provide high level support for a wide range of donor recognition and engagement programs. Reporting to the Senior Associate Director, Donor Relations, and collaborating with both the Senior Associate and Associate Directors, you will participate in the strategy and design of annual and one-time donor-recognition events and programs; support staff leads in design and execution of large regional donor recognition programs; lead the strategy and design of smaller regional programs; manage communications regarding donor recognition programs; initiate and execute the new member welcome process for donor recognition societies; manage volunteer advisors and coordinate their regular meetings; track and analyze member participation, plan and execute mass communications with members, and respond to individual member inquiries; provide excellent administrative support through the management of communication and event calendars and communication with internal and external stakeholders.

Responsibilities

Donor Recognition and Stewardship

  • In partnership with the Senior Associate Director and Associate Director, coordinate strategy and programming for regularly occurring on-campus donor recognition programs as well as occasional smaller scale one-time events (e.g., named space dedications).

  • Collaborating with key stakeholders in Advancement and across campus, as well as outside partners, speakers and donors or their representatives regarding participation in donor recognition programs and events.

  • Supporting staff leads in the design and execution of large regional donor recognition events.

  • Leading the strategy and design of select regional donor recognition events, depending on scope.

  • Liaising with volunteer hosts of regional events.

  • Collaborating with assigned events managers on all logistical event details, and with communications colleagues on event-related collateral.

  • Participation in the implementation of all Donor Relations programs including pre-and post-event staffing, as well as occasional travel.

  • Identifying and vetting constituencies, and creating corresponding messaging strategies, invitations and mailing lists for programs, and preparing custom detailed participation reports.

Lifetime Giving Group Membership Management

  • Managing membership data of two lifetime giving groups recognizing the University's most generous benefactors, including tracking all aspects of membership: ensuring accurate records for membership status, attendance and engagement

  • Managing giving groups' volunteer advisors, including coordination of quarterly meetings: meeting agendas and minutes, providing advance and follow-up materials, and managing advisory group member transitions (onboarding and retirement).

  • Initiating and executing the welcome process for donors as they become eligible for lifetime giving groups, including releasing segmented hard copy and digital welcome materials, assembly of presentation items and/or other special mailings

  • Using in-house database software tools to provide timely, custom reporting to update Advancement colleagues, campus partners and other event stakeholders.

  • Tracking member engagement through data points including event participation, digital communication open rates, link click rates, and more and liaising with Data Strategy and Events department colleagues to execute a consistent metrics reporting project, analyzing and visualizing engagement information to provide insights to benefit future Donor Relations programs as well as inform various Advancement partners.

  • Planning and executing mass member communications using email marketing software, including letters, event mailings, post-event follow-up messages, and surveys; partnering with Printing and Mailing and/or Advancement Communications colleagues as well as program stakeholders to develop and coordinate several complex annual mass mailing projects.

  • Responding to member inquiries.

General Administration

  • Overseeing Donor Recognition Programs calendar of events/mailings

  • Managing inventory of donor recognition materials including specialty paper, mailers, gift items, and other member materials.

  • Overseeing requests for services from key stakeholders in Donor Relations programs (Communications, Events, Office of the VP).

  • Other administrative projects and responsibilities as assigned.

Qualifications

  • 3-5 years of relevant experience.

  • Exceptional computer skills and analytic skills including expertise with excel spreadsheets, word processing, and an openness to embracing new technology with an ability to learn database systems and software programs quickly.

  • High standards of professionalism and performance as evidenced by collaborative teamwork, initiative, critical thinking, excellent judgment, tact, reliability, and timeliness of follow-through.

  • Superb organizational capacity including sophisticated data management and analysis.

  • Experience overseeing and executing complicated mass messaging that must be personalized in sophisticated ways for many unique constituencies.

  • Demonstrated accuracy and attention to detail; and ability to use discretion in dealing with highly confidential material.

  • Ability to work in close collaboration with a wide range of stakeholders within Advancement and across campus.

  • Ability to exercise independent judgment and make decisions based on established policies and procedures in supervisor's absence.

  • Flexibility and willingness to undertake special projects, assignments, and to provide support to other Donor Relations projects as needed.

  • Ability to travel occasionally.

  • Ability to respond quickly to changing business needs and priorities and to handle multiple projects simultaneously.

Preferred Qualifications:

  • Bachelor's Degree

  • Experience planning and executing events, particularly in a higher education setting.

  • Experience with volunteer management.

  • Proficiency with CRM systems, Microsoft applications, Outlook, and Slack.

  • Experience in working with volunteers and high-net-worth individuals.
