We have an exciting opportunity for a Program Associate to support the NSF S-STEM Principal Investigator (PI) community responsible for the content and publication of online materials and coordination of community engagement activities. Reporting to the Program Director, you will be responsible for leading evaluation, report writing, and managing STEM education projects, including meetings, webinars, and community outreach to include: Developing and maintaining project related websites online registration systems; developing surveys and evaluating survey data; and other meeting-related activities.

The NSF S-STEM program provides awards to Institutions of Higher Education (IHEs) to fund scholarships and to advance the adaptation, implementation, and study of evidence-based curricular and co-curricular activities that promote recruitment, retention, and graduation in STEM for low-income, academically talented students with financial needs. The program also encourages multi pronged approaches and collaborations among industry, STEM faculty, and social science researchers to address this issue.

What You'll Do

  • Lead the design and implementation of webinars and project websites, including writing and compiling short features, biographies or promotional materials for website or print materials

  • Lead comprehensive evaluation and research efforts, including setting-up online surveys, data entry, initial analyses, data visualization, contributing as an author to publications, and writing short reports

  • Lead the organization of small workshops and meetings, including setting-up online registration, travel and travel awards for conferences and serves as liaison, including maintaining databases, coordinating with the AAAS travel agency, responding to questions, and developing FAQs

  • Lead conference and meeting coordination including managing and training temporary staff on the production of badges, handouts, and program books and other materials; and direct onsite registration and poster set-up

  • Additional duties as assigned

Minimum Qualifications

  • Bachelors' degree, preferably in STEM

  • Prior experience coordinating conferences and meetings

  • Familiarity with meeting-based software (CVENT)

  • Microsoft Excel (Intermediate)

  • Data analysis and visualization (Intermediate)

  • Basic research skills

  • HTML/CSS, Square Space, WordPress, website design and administration, web content management software (Intermediate)

  • Adobe Illustrator, Photoshop, Microsoft

Publisher (e.g. desktop publishing tools) (Intermediate)

  • Video conferencing experience

  • Community development

  • Project management, website administration, database management

  • Excellent communication skills, especially in the online environment

  • Ability to work independently in a fast-paced environment

JOB OVERVIEW Job Description Summary: For over 24 years, the Office of International Medicine Programs (IMP) at the GW School of Medicine and Health Sciences (SMHS) has cultivated global partnerships to create transformational mutual exchange in medical education, training, and research. IMP's goal is to provide life-changing opportunities to build the capacity of other countries and share the latest advances in medicine and healthcare. As a pioneer in international medical education, training, and research, IMP has developed, coordinated, and completed over 150 projects in over 50 countries, touching the lives of more than 12,000 healthcare professionals, students, and patients around the globe. The purpose of this position is to provide coordination and program management on behalf of an academic program or initiative. This role will serve as a point of contact for the program, will answer program questions from faculty, staff, and students, and will provide functional support for the program administration. Functional support could include answering most inquiries, enrollment guidance, managing web presence and some marketing efforts, drafting program materials, planning and executing events, tracking spending and processing payments, preparing and analyzing reports, and similar duties. Often these positions make recommendations to policy and procedure. Often these roles are tasked with outreach to other GW stakeholders in order to assist in maintaining standard operational efficiencies. Typical duties often are administrative in nature including tasks that are routine, and under general or limited supervision of more senior personnel within the department, or program. The Program Associate supports the day-to-day operations of IMP, serving as the first point of contact for general inquiries, managing IMP's email and social media accounts and website, and supporting the work of IMP leadership and other staff through expense reporting, travel planning, and other administrative and research tasks. The Program Associate will report directly to the Executive Special Assistant but will work closely with IMP staff members as an integral part of the team. Other Duties Include: * Operate IMP's phone line and email accounts; field inquiries about IMP programs * Serve as the initial point of contact for visitors to the office * Manage the calendars of the Associate Dean and other senior staff * Manage and record data, as needed * Oversee the process of creating legal agreements for IMP projects, including drafting, reviewing, and recording all agreements * Coordinate procurement, finances, and expense reporting for IMP * Oversee, plan, and monitor all IMP-sponsored travel and event attendance, including arranging travel and other logistics, managing and disbursing funds under the supervision of the executive special assistant, delivering pre-travel orientations and collecting post-travel evaluations, and serving as the primary point of contact for IMP during travel * Coordinate and implement international projects and partnerships in collaboration with internal and external stakeholder * Maintain and update IMP's website and social media accounts Performs other related duties as assigned.
