About the Project

Through the Private Sector Engagement Modernization Contract (PSEMC), Dexis supports the U.S. Agency for International Development's (USAID's) PSE Hub to expand and deepen collaboration with the private sector to achieve greater development outcomes. The PSE Hub's mission is to create the institutional conditions, operating infrastructure, and capacity necessary to expand engagement with the private sector in the United States and partner countries. The PSE Hub works to transform and modernize how USAID does development by institutionalizing USAID's PSE policy and delivering capacity- and systems-building support for PSE across all sectors, operating units, and countries where USAID operates.

About the Position

The Program Assistant will work across a broad range of administrative, knowledge management, and analysis functions to support the PSE Hub's efforts, and support the reporting progress and strategic planning of PSE Modernize Initiatives.

The Program Assistant will provide general administrative support to the PSE Hub, specifically the Executive Director, tracking administrative tasks, alongside drafting, and preparing program documents and correspondence, researching, and ensuring compliance with rules and regulations, and providing customer service to diverse stakeholders.

The Program Assistant will report to the PSE Hub's Executive Directors, and support Strategy Implementation Manager.

Responsibilities

Administrative Tasks (40%)

  • Participates in relevant meetings and contributes to the planning and coordination of field-based PSE support to USAID Missions.

  • Provides direct administrative support to the PSE Executive Director, Deputy Directors and the PSE Team Managing Directors on tasks related to the PSE Hub.

  • Coordinates, participates in, and serves as the notetaker at, staff meetings, and other relevant meetings as requested.

  • Maintains calendars and schedules appointments for Executive Director and as appropriate the Deputy Directors based on the knowledge of their activities, regularly scheduled meetings, and ad hoc meetings.

  • Drafts, tracks, and finalizes correspondence, official briefing documents and other types of documents related to project and team management or operation, including executive and/or congressional correspondence, and coordination of regular email correspondence and updates to USAID staff, partners, and other contacts from USAID databases.

  • Reserves conference rooms or other appropriate facilities, prepares agendas, notifies participants, sets up needed equipment and assembles relevant background and informational materials.

  • Receives and directs inquiries (through email, phone, in-person, and other channels) to appropriate staff members.

  • Coordinates clearance process for documents and taskers requiring clearance by management. Receives, tracks, and controls incoming actions, ensuring compliance with regulations and deadlines.

  • Serves as primary liaison with the Bureau Front Office and the PSE hub, facilitating seamless and timely communications to ensure efficient operations.

  • Collaborates closely with Hub and Bureau leadership to support the management of numerous staff, emphasizing the ability to work effectively in diverse and complex situations, and maintaining relationships.

Strategic Planning & Surge Support PSE Modernize Initiatives (30%)

  • Supports in creation and refinement of strategic plans for Modernize Initiatives, ensuring alignment with PSE and Agency goals and objectives.

  • Assists in coordination of resources, to meet the demands of the Modernize projects and deliverables during surges, tight deadlines, and acceleration periods, optimizing efficiency and productivity.

  • Collaborates in creation of trackers for major initiatives, to help manage project timelines, ensuring that strategic milestones are met and adjustments are made as needed.

  • Provides surge support for PSE projects and activities, ensuring successful completion and quality within specified timelines, especially related to meetings with Administrators.

  • Fosters a collaborative team environment, promoting effective communication and knowledge sharing among team members to enhance overall performance.

Reporting Process of PSE Modernize Deliverables (20%)

  • Supports the organization of the bi-monthly Work Cycle Reporting check-ins on Modernize Deliverables with Division Chiefs and PSE Hub leadership.

  • Drafts and prepares comprehensive PSE monthly Modernize reports to send up to the Agency Front Office. Clearly articulates key achievements and challenges.

  • Creates and maintains collaborative relationships with the Agency Executive Staff support team to ensure seamless communication and efficient workflow.

  • Supports various teams with review and editing processes on their materials, to align with expected standards for meetings with Administrators.

  • Organizes and facilitates monthly Deputy Administrator meetings, specifically focused on the progress of PSE Modernize Initiatives and how to involve the Agency Front Office.

Other Responsibilities (10%)

  • Other ongoing, discrete, or special projects as assigned by the Executive Director, with a focus on areas related to pulse checks, office management, reporting, liaising, and supporting the impact or strategic planning of Modernize Initiatives.

Qualifications

Required

  • Bachelor's degree and two (2) years of relevant professional experience, including at least one (1) year in a highly operational role

  • Demonstrated enthusiasm for operational excellence

  • Exceptional proven attention to detail and organizational skills

  • Excellent proven skills establishing and maintaining information in spreadsheets (Excel, Google Sheets, etc.) and using the data in those spreadsheets to inform ongoing scenario-planning and decision-making

  • Highly solution-oriented, with demonstrated ability to be confronted with new, unfamiliar problems and proactively identify and assess possible solutions to them

  • High degree of comfort with and skill in task-shifting and multitasking

  • Quick learner of new systems, processes, etc.

  • Ability to attain and maintain at least a Facilities Access Clearance (FAC)

Preferred

  • Active FAC or Secret-level Clearance

Min. Salary

$55,000-$72,000 USD
