Position Highlights

The Columbia County Circuit Court in Saint Helens, Oregon, is hiring a Specialty Court Program Assistant (Program Assistant) to assist the court's program manager in administering our four treatment courts: adult drug court, behavioral health court, veterans court, and dependency drug court.

In this role, you will evaluate applicants' eligibility for specialty court program participation, gather program participants' data, create and maintain participant files, and enter data into a statewide database. Working with program applicants and participants, you will explain program rules, policies, forms, guidelines, and services, as well as conduct intake meetings as needed. You will assist with researching and writing grant proposals, establishing budgets for each treatment court, tracking information related to performance measurements, maintaining spreadsheets, and reporting program-related statistics. In the course of your work, you will collaborate with community partners, facilitate the exchange of information, and use your problem-solving skills to help program participants and improve the specialty court programs.

Additionally, you will maintain the specialty court calendar, schedule cases, and assist judges in the courtroom by recording specialty court sessions and performing other clerk duties as needed. Part of your time will be spent planning and coordinating graduation ceremonies, training events, guest speakers, and program planning meetings. You will also answer phones and manage the supplies needed to operate the treatment court office each day.

Assigned tasks may be changed to accommodate workload and organizational needs.

Minimum Qualifications

The qualified candidate must have a bachelor's degree in business or public administration, behavioral or social/human services, or a closely related field.

AND

One (1) year of increasingly responsible technical or professional-level program experience that typically supports the knowledge, skills, and abilities required for the position.

OR

Any combination of education and experience equivalent to five (5) years of experience that typically supports the knowledge, skills, and abilities for the position.

  • Experience reviewing applicants' materials to determine eligibility for entry into a program and meeting with program participants.

  • Experience explaining rules, policies, procedures, and decisions on behalf of an employer.

  • Experience accomplishing work through developing collaborative relationships with internal and external stakeholders.

  • Experience writing grant proposals and having a working knowledge of the grant process.

  • Ability to maintain confidential records of program participants and monitor compliance with program requirements.

  • Experience working in a court or other legal environment is preferred but not required.

WORKING CONDITIONS

  • This is a full-time position, and the work schedule currently is 8:00 a.m. to 5:00 p.m. Monday through Friday. This position is eligible for overtime compensation for hours worked in excess of 40 per work week.

  • Occasional overtime work may be required.

  • Occasional travel may be required.

  • Frequent phone, video, and in-person contact with people from diverse backgrounds.
