The Libraries department at West Virginia University is seeking applications for a Program Assistant I: Administrative & Social Media Assistant. This position is responsible for serving as the administrative and social media assistant to the WVU Libraries Administrative Services Department and the WVU Humanities Center Director's office, including office and financial services support, and coordinating & developing social/physical media for both departments.
In order to be successful in this position, the ideal candidate will:
Perform basic office duties but with moderate degree of independence, including managing calendars and telephones for multiple administrative faculty members, coordinating and scheduling meetings, answering and directing incoming phone calls, receiving and greeting visitors to the office, communicating with various Library/Humanities Center constituencies regarding meetings, events, etc.
Organize events and programs for Humanities Center, including catering, room reservations, travel, etc.
Assist the Libraries Senior Administrative Assistant with events and programming for the Libraries.
Serve as backup for mailroom duties and performs other duties as assigned.
Provide travel arrangements and reimbursements for Humanities Center guests/speakers; work with Library and Humanities Center faculty on travel arrangements for conferences by registering, booking hotels, airfare, etc.
Keep records of invoices/receipts for use in various WVU financial software such as MyExpenses, Mountaineer Marketplace, etc.
Be responsible for Library deposits of fines, copier, research services, etc. monies.
Use the coordinated "in-house" procedure, the incumbent is responsible for creating and assisting with creating basic digital and physical materials for both the Libraries and the Humanities Center, and schedules social media postings on various internal and external marketing channels.
Audio-visual work (i.e. video-recording) for monthly (evening) events is also required.
Pay Grade: 12
Associate's Degree required (Humanities, Communications, Journalism, Media, or similar preferred).
Six (6) months experience preferred in:
General Office Experience
Audio/Visual Editing & Software
Professional Social Media Management
Computer software experience with MS Word, EXCEL, Access, PowerPoint and Outlook.
Strong interpersonal and oral communication skills, and attention to detail.
Ability to work independently and as a team is required.
Willingness to learn and use new technology on a daily basis.
Excellent telephone and office reception skills.
Ability to make decisions, interpret and apply policies; work with established procedures and follow directions.
Ability to work with sensitive information and adhere to confidentiality standards.
Ability to prioritize and handle multiple projects.
