Position Summary:

Florida Atlantic University is seeking a Program Assistant

  • Boca Raton, FL.

Summary of Responsibilities:

  • Manage all aspects of Counseling & Psychological Services front desk and clinical support functions which involve an electronic health record and associated processes and procedures.

  • Greet clients upon arrival, check appointment status, verify eligibility, complete check-in/checkout procedures, verify that confidential documents are updated in EHR.

  • Maintain confidentiality of medical records and of students personal health information at all times.

  • Operate scanning equipment to process clients' documents.

  • File documents as necessary.

  • Send electronic documents and upload documents for electronic health records, and schedule student appointments as necessary.

  • Maintain client appointment system with accuracy, appointments which are highly confidential in nature.

  • Answer telephone inquiries and serve as a liaison with FAU students, clients, faculty, and staff internal and external to CAPS and larger community.

  • Interact and communicate effectively with students, clients, clinicians, staff, faculty, and administrators, verbally and in written communications.

  • Maintain up to date inventory and stocking of health promotion materials.

  • Oversee office orders of supplies and promotional materials.

  • Open purchase orders and submit invoices in accordance with university and divisional purchasing policies.

  • Work with clinical staff to manage data tracking of office programs and services (includes events, workshops, and health promotion materials.)

  • Complies with federal, state, and university regulations and statutes, as well as internal policies and procedures.

  • Work to foster and maintain a collaborative, engaging, and positive work environment for all students and staff.

  • Participates in assessment, accreditation, quality improvement, and regulatory compliance.

  • Participate in activities, both internal and external to CAPS, in order to champion the health of the college student population, advance the mission of CAPS, and support the missions of the Division of Student Affairs & Enrollment Management and Florida Atlantic University.

  • Perform any other job-related duties as needed for the smooth operation of the office.

Minimum Qualifications:

A high school diploma and four years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

$18.27 per hour
