The Program Assistant is responsible for assisting and supporting the Film & Media department by serving as the point of contact for faculty, staff, and students. The Assistant performs a range of office-support activities such as answering inquiries, greeting and directing visitors, performing routine data entry, coordinating schedules, and overseeing student workers.

  • Testify to personal experience of salvation in Jesus Christ, affirm belief in the University's Statement of Faith, abide by and practice our Life Together Covenant, and both personally agree with and support the Foundational Documents of Taylor University.

  • Support faculty by attending department meetings, recording minutes, copying and distributing classroom materials, proctoring exams on occasion, grading objective quiz and test items, procuring keys as needed, and assisting with the curation of a database of available actor headshots and resumes for use by Narrative Filmmaking students.

  • Manage departmental office by serving as the receptionist, responding to walk-up questions and requests from faculty and students, organizing and maintaining department files, maintaining printers, ordering office supplies, creating schedules and collecting materials, providing oversight of petty cash and disbursements, and maintaining office area appearance.

  • Recruit, schedule, and manage student workers as needed.

  • Archive annual documents such as production photos, course materials, production binders, department meeting meetings, and syllabi.

  • Update course materials and fees each semester in communication with faculty, ensure that fees are collected for relevant class sections, order materials as needed, and assist chair in processing course fee forms to meet deadlines.

  • Assist Chair in plotting course, faculty, and room schedules throughout Horne using iChair software, identify population swells or downturns, and forecast how those will affect section enrollment.

  • Maintain curriculum guides for BA and BS and prepare data for decision making.

  • Work with department budget manager in reviewing charges to find and address errors, process purchase orders and invoices, collect receipts and process credit card statements, and assist with vendor relationships.

  • Oversee student purchases for projects, process petty cash and reimbursements for upper division production courses. This involves working directly with 4 - 12 student producers each semester.

  • Create and submit requests-to-hire adjunct faculty and verify access to TU technology, systems, and office supplies as they begin each semester.

  • Assist and provide support in trip planning, arrangements, ticket purchases, and scheduling including airline and transit tickets, accommodations for large groups, food budgets, and tickets for exhibitions and performances.

  • Process and track professional development funds, expense reports, and reimbursements.

  • Serve as liaison to print shop for posters and prints for marketing purposes and supervise student workers in updating film posters with award recognitions. Assist chair in providing updated information on TU website and verify TV monitors are functional and feeding correct promotional images.

  • Serve as clearinghouse for and distributor of internship information and job listings, and send occasional mailings, invitations, and surveys to alumni.

  • Maintain building spaces by submitting and tracking work orders to maintenance and housekeeping; communicate to faculty about disruptive repair processes as needed. Coordinate building needs with other departments including Key Control, Campus Police, IT, and Media Services.

  • Field requests for use of media spaces within the Horne Academic Center using both 25Live and the department's internal Cheqroom in coordination with faculty, and assist summer conference attendees when in the building.

  • Coordinate special events including JohnFest fall picnic, film screening/receptions, Envision Film Festival, guest filmmaker visits, Accepted Student visit day lunches, Senior Show, Senior Brunch and others as needed.

  • Handle logistics of visiting filmmakers, book campus facilities via 25Live, purchase food and beverages for receptions, place catering orders, serve as host for events, publicize scheduled events to the university, and provide public relations information about exhibits as requested.

  • Provide administrative support for TUHIP (LA semester program) by processing tax forms and honoraria payments for speakers.

  • Assist with Film Camp logistics including picnic arrangements and finding actors for films by reaching out to local arts organizations and high schools.

  • Work alongside faculty to provide Film Festival support by ensuring student project submission forms and FilmFreeway are completed, obtaining caption files when needed, tracking festival submission dates, and providing requested assets.

  • Track social media, boost posts as needed, and interact with university Social Media Manager for reposts.

  • Other duties as assigned.

Education and Experience

  • High school diploma or GED, required. Bachelor's degree preferred.

  • Two years of administration experience preferred.

  • Excellent and effective verbal and written communication skills.

  • Excellent customer service skills with the ability to interact warmly and professionally with colleagues, students, parents and external partners.

  • Detail-oriented to maintain department records with accuracy and confidentiality.

  • Strong computer skills including proficiency in Microsoft Office, and the ability to learn new technology.

  • Excellent organizational skills to maintain calendars and schedule appointments, reservations, and/or events.

  • Ability to understand and follow specific instructions and procedures.

  • Self-directed and self-motivated in job-related tasks.

  • Adaptable and flexible to change tasks quickly; collaborative team player who can also work independently.

  • Ability to operate basic office equipment including computers, phones, and printers.
