SUMMARY:
The Program Assistant will support the Senior Advisor, Peacebuilding and Inclusion USIP's disability-inclusive peacebuilding portfolio.
This is a part-time term U.S. Personal Services Contractor position through August 2024, the contract can be renewed pending good performance, availability of funding, and business needs.
Specifically, the Program Assistant will conduct the following tasks:
JOB BRIEF
Program Support:
Supports - through budgeting, writing, reporting, and general coordination, including the development of programs to strengthen the role of persons with disabilities as peacebuilders
Assists in the development of an internal USIP working group on disability inclusion and in documenting best practices at USIP
Drafts internal and public documents
Manage the documentation of events and projects in USIP's systems
Attend internal and external meetings and takes notes
Supports the Senior Advisor in building and maintaining relationships
Research:
Conducts research as needed on topics related to the inclusion of people with disabilities in peacebuilding
Supports the peer review of relevant USIP publications
Events:
Provides substantive and administrative support for small and large invite-only meetings and public events, including a study groups, workshops, and other programmatic activities, including through:
Regularly updating email lists and consulting internally as needed on invitees.
Drafting invitation text and taking RSVP's for events.
Using USIP's event systems to reserve rooms.
Operating the virtual portion of the event, including reserving Zoom or other systems
Liaising with reception and security to grant building access to guests and greeting and escorting guests
Developing promotional and informative descriptions of events for USIP's internal staff members and external guests.
Arranging food and refreshments as needed.
Perform other duties as assigned.
QUALIFICATIONS:
Bachelor's degree in international affairs, conflict resolution, or a related field
One (1) or more years of business or administrative experience.
Experience and knowledge in disability inclusion
Experience organizing events and meetings.
Research experience
Demonstrated ability to develop and maintain relationships with partners.
Excellent writing and verbal communication skills.
Proficiency in English required
Strong skills in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) are required.
Strong time management skills with the ability to prioritize work and meet deadlines.
Demonstrated ability to work collaboratively and develop effective working relationships and strong interpersonal skills, including cross-cultural communication.
