We are a Wisconsin-based not for profit and family care organization designed to assist frail elders and adults with disabilities, by providing the support and services they need to live full lives within their communities. This part-time role will be less than 30 hours/week and must have flexibility in schedule per business demand.

The Program Assistant provides administrative/clerical and reception support to the Care Management Supervisor and Interdisciplinary Teams.

What are the primary duties of this position?

  • Performs high level clerical support duties, including typing and copying documents and reports, assembling files, and other support type activities for the CMU (Care Management) staff.

  • Orders and copies forms, brochures and other materials as needed, and assembles into packets, such as Family Care enrollment packets or annual review packets.

  • Assists CMU Supervisors in preparing for and coordinating meetings, trainings, presentations, etc. (i.e. sending notices, preparing materials, etc.)

  • Provides other administrative support to Supervisors, works on special projects and completes other duties as assigned.

  • Performs word processing of general correspondence for CMU staff.

  • Prepares and manages mailing lists for distribution to Family Care members.

  • Maintains secure filing system of confidential Family Care member records.

  • Performs reception duties, including greeting members and visitors, answering telephones and routing calls to appropriate staff, delivering messages and documents, and distributing information regarding Inclusa services.

  • Works closely with office management and IT staff to ensure smooth and secure operations of organization, providing support for copy machine, fax, scanners, physical office space, phones, computers, etc.

  • Responsible for ordering office supplies and operating postage meter.

  • Responsible for office mail and postage meter.

  • Uses various web-based programs, including MIDAS, to locate or research information for use by CMU staff, and Excel or other computer programs to assist in monthly tracking of CMU operations.

  • This position will also complete validation in Matrix as well as printing and mailing of the NOA/IMS letters.

ii. Vocational/technical training in office support functions with three years' experience in reception or customer service preferred. Any combination of education and experience that provide the same knowledge skills and abilities may be considered.

iii. Strong customer and public service communication skills are required.

iv. Knowledge and demonstrated experience in a variety of computer programs, and proficient typing and data entry skills are required.

v. Must be proficient in Microsoft Word, Excel, Access and Publisher. Experience with web-based programs is desired.

vi. Ability to operate a variety of office equipment including photocopier, fax, multi-line telephone, printer and calculator is essential.

vii. Knowledge of community resources is helpful.

viii. Valid driver's license to operate a vehicle in the State of Wisconsin, and unlimited access to reliable transportation
