West Virginia University's College of Applied Human Sciences is seeking applications for a Program Assistant for the Office of Student Success.

About the Opportunity

The incumbent will provide front line administrative support to the Office of Student Success. This includes working the front desk for the Office of Student Success, directing students/walk-ins to the appropriate person, and answering student questions or escalate to the correct resource. They will also facilitate forms and processes, chiefly the teacher certification process including receiving, evaluating, processing and maintaining records for in/out of state students applications for teacher certification, certificate renewal, additional endorsements, additional degrees, and salary increments. The incumbent will also provide information to students/faculty/staff seeking a license to teach, or endorsements on existing certificates, and on certification requirements. This position also manages forms and processes related to NCAA certification, Academic Common Market, Ohio Reciprocity, Course Program Of Study, Internship Requests, and Academic Status Updates.

What you'll do:

Certification Duties:

  • Based on the West Virginia Teacher Education Program and on the policies of West Virginia Department of Education (and other relevant agencies or departments), provides individualized guidance on specific teaching, service, and advanced educator specializations to meet both degree and certification requirements.

  • Processes forms for all certifications, renewal of certificates, tuition reimbursements, endorsements to certificates and certificate conversions.

  • Responds to inquiries concerning admission to graduate programs and teacher certification from the web site.

  • Provides information to the students/faculty/staff/relevant stakeholders in the College of Applied Human Sciences on topics related to certification and licensure policies and procedures. Includes assisting in coordinating sessions providing an overview of specific teaching fields and content specializations for entering students.

  • Evaluates transcripts of graduates and potential students who seek certification.

  • Provides information to students regarding certification including but not limited to application deadlines and required courses for certification.

Administrative Support:

  • Provide Administrative support to the Director of the Office of Student Success, and the Office of Student Success Staff - recruiters, student success coordinators, advisors, and student experience coordinators.

  • Work the front desk for the Office of Student Success: answer phone, direct people to the appropriate person, answer student questions. or escalate to the correct resource. Manage CAHS email account, answer inquiries and direct calls appropriately.

  • Support advising staff by scheduling appointments, answering phones/making calls, and responding to CAHS vanity account emails.

  • Assist faculty with admission process for graduate degree programs.

  • Assist with certification process for NCAA student athletes, Academic Common Market, Ohio Reciprocity, and Veteran Affairs.

  • Support all advising staff in lifting department holds, registration restrictions, etc.

  • Utilize various institutional databases, including STAR/BANNER, DegreeWorks, Hobson's AppReview, Navigate, Argos, and TargetX.

  • Assist in verifying academic records to certify student progress toward degree completion.

  • Schedule meetings with appropriate staff, faculty, and administrators, and assists with agenda preparation and notetaking.

  • Assist with graduation certification.

  • Assist with internship form process.

  • Coordinate the academic status update process (major changes, minor additions) for incoming, current, and graduating students - including notification of new advising assignments and advisor/advisee introductory email.

  • Collaborate with staff assigned to course scheduling and manage updates as needed.

Maintenance of Records:

  • Enters notes in DegreeWorks recording interactions with students regarding certification, etc.

  • Maintains data on all applications for licensure.

  • Uses appropriate databases to verify and transmit data to the WV Department of Education.

  • Processes and maintains records on all program transfer requests.

  • Checks all applications to make sure forms are completed properly.

Other:

  • Provides data for yearly reports required by the West Virginia Department of Education and national accrediting agencies (ie, number of students who have completed programs, number of students in certification areas, demographic information on student populations, student performance data, and other data as needed).

  • Collaborates and communicates regularly with the Coordinator of Teacher Education and teaching preparation program coordinators/contacts.

  • Collaborates with Coordinator of Assessment and reports concerns regarding certification.

  • Other duties as assigned.

  • Bachelor's degree required

  • A minimum of one (1) year of experience with each of the following:

  • Prior work experience with databases

  • Prior work with common licensure requirements for teaching in West Virginia

  • Knowledge of common licensure requirements for teaching in West Virginia

  • Knowledge of requirements for renewal of provisional certificates

  • Knowledge of policies governing the conversion of provisional teaching or service certificates to professional ones

  • Knowledge of policies governing issuance of temporary certificates to out of state applicants or those with foreign credentials

  • Knowledge of policies governing the issuance and renewal of initial permits and out of state field authorizations

  • Familiarity with guidelines within CAHS that are in addition to or different from the University Catalog

  • Knowledge of requirements and procedures for renewing an expired teaching or service certificate

  • Understanding of core requirements and entrance requirements for Teacher Education program

  • Effective written and oral communication skills

  • Understanding of Teacher Education program requirements and WV Board of Education requirements governing teacher certification

  • Ability to interpret course descriptions and content to allow substitutions as appropriate to meet the WV State Department of Ed requirements

Preferred Qualifications:

  • Master's Degree

  • Prior work experience processing teacher applications
