Responsible for coordinating all administrative activities related to the appointment of integrated and intramural Graduate Medical Education and Medical Education; coordinating the registration, instruction and orientation program for newly appointed residents; assuring compliance with relevant Federal and New York State regulations and TJC requirements. Manage all aspects of Mandatory Training, EPIC enrollment, Flu mandates and other related information pertaining to the on-boarding requirements of the facilities and the School of Medicine at Mount Sinai. Assist the Supervising Manager of IRIS Reporting and Duty Hours Reporting regarding data management objectives. This is a Regional position. Candidate will be working between Elmhurst and Queens Hospital Center.

Responsibilities

1.Researches and responds to residency verification requests from other institutions, including requests for malpractice history.

2.Coordinates the transition of Residents each year, upgrading, graduation and admission of new Residents, including preparation of diplomas.

3.Plans, organizes and coordinates the new resident training orientation program for the Icahn School of Medicine at Mount Sinai. Arranges a variety of administrative details for new appointees, including distribution of Provider Numbers and stamps.

4.Coordinates administrative activities related to the assignment of residents to the medical training program. Ensures that all appropriate information and documentation has been provided by students including required credentials, such as licensure, transcripts, and letters of recommendation, previous employment, contracts, and any other as appropriate. Checks with appropriate licensure agency to verify any data pertaining to the credentialing process. Upon completion of all verified documents, prepares all Recommendation for Appointment to House Staff packets and submits same to the Icahn School of Medicine at Mount Sinai Administration for administrative approval.

5.Works with ECFMG and Mount Sinai International Personnel in obtaining J-1 and HI-B visas for incoming foreign Residents.

6.Supports the submission of data regarding Health + Hospitals annexes in correlation to House Staff Affairs budget and projections. Provide administrative support to the Director of Medical Education including but not limited to preparing correspondence for signature; acting as the liaison between the DME and Clerkship Directors; preparing for SGU site visits; coordinating faculty appointments and reappointments; maintaining elective goals and objectives; and preparing all materials needed for meetings.

7.Assists with reconciliation of data in correlation with New Innovations Residency Program software. Preparation for submission of data for IRIS reporting. Prepare billing statements for services provided to third and fourth year students in conjunction with the Mount Sinai Services Finance department.

8.Assists with developing the Residency Program Coordinators with elements of data concerning New Innovations, ACGME regulations, IRIS REPORTING, GME Data regards to the support for IRIS issues.

9.Securing I.D. access to the Hospital and computer privileges, as a team approach with IT and Hospital Police.



  1. Processes new resident appointees on the staff, including assigning PGY levels; providing budgetary line numbers to ensure all appropriate identified data has been entered to allocate salary monies and arranging for integrated program line numbers.

  2. Participates in surveys, special reports or any non-routing request for information related to the house staff. Prepares, organizes and provides detailed data to various regulatory agencies, including statistics regarding number of foreign medical students; number of American medical students; EEO information, etc. Helps arrange and display data for ease of interpretation and understanding.

  3. Regularly works with departments throughout the institution to revise the House Staff Manual and brochures of Elmhurst Hospital. This process also includes consolidation with Icahn School of Medicine at Mount Sinai campus manual. Act as the liaison with staff in clinical departments to coordinate program activities and training; to accomplish program objectives; and to ensure cooperative efforts are enhanced and available resources are utilized.

  4. Coordinates administrative functions including attending, taking and preparing minutes of the Graduate Medical Education Committee and House Staff Council Committee meet at Elmhurst Hospital.

  5. Assisting Risk Management to locate and identify I.D. numbers for malpractice; ensures routine inquiries are answered regarding certification of employment for house staff and notarization of licensing applications.

  6. Regular works with all other hospital administrators and departments to answer questions; interprets policies and resolves any issues related to any administrative, personnel or financial aspects of the management of House Staff activities.

  7. Administer program procedures and systems. Ensures information is disseminated to Mount Sinai staff regarding program and the Icahn School of Medicine at Mount Sinai's policies and procedures.


Qualifications

  • Education training is necessary to provide sufficient foundation for good written and oral communication skills. Good arithmetical aptitude required, especially for preparation of budgeting, requisitioning of supplies, and regulatory reporting. In addition, Bachelor of Science Degree/or years of additional training with experience.

  • 1 to 2 years related experience.

  • MS Word, Excel, PowerPoint Presentation, Outlook and Computer Software Proficiency.

  • Excellent written and oral communication skills.

  • Demonstrated written and oral communication skills.

  • Demonstrated organizational skills and the ability to prioritize multiple tasks, projects and assignments.

The Mount Sinai Health System (MSHS) provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $20 - $35.8 Hourly. Actual salaries depend on a variety of factors, including experience, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
