Minimum Qualifications Current New York State employee with one year or more of permanent, contingent-permanent or 55b/c status as a Program Aide (previously Administrative Aide or Agency Program Aide); OR New York State employee with one year or more of permanent, contingent-permanent or 55b/c status in a position allocated to a Grade 11 or above and eligible for transfer under Section 70.1 of the Civil Service Law.

Duties Description Prepare and assist staff with preparing reports.

  • Maintain paper and electronic files for correspondence and project documentation.

  • Process visitors for entry into visitor security system.

  • Prepare and assist with the preparation of correspondence, documents, addenda, and specifications.

  • Assist in the preparation and bidding of construction contracts.

  • Monitor and maintain office supplies.

  • Provide professional communication with program staff, agency staff, clients and members of the public regarding construction projects.

  • Process sale and payment transactions of bid document orders.

  • Generate invoices for purchased plans and monitor/track/collect past due bills.

  • Process and reconcile payments for advertisements and publications for projects.

Responsibilities The position is located in the Office of Planning and Community Affairs (OPCA). OPCA, located within the AIDS Institute Executive Office is responsible for on-going, cross-programmatic policy development, strategic planning, legislative development, implementation and analysis, regulatory review, management of planning and advisory bodies and community affairs. As such, OPCA has responsibilities related to all program areas in the AIDS Institute. The incumbent will have a broad range of administrative and fiscal responsibilities associated with the support, management and implementation of the NYS HIV Advisory Body (HAB), with the Regional Ending the Epidemic (ETE) Network Initiative, as well as with the new Hepatitis C (HCV) Elimination Initiative. Other appropriate duties as assigned. Conditions of Employment Grant funded position.
