The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Program Administrator provides administrative and logistical support for externship and Clinical Programs at Columbia Law School. These programs are important components of the school's experiential learning offerings that combine academic seminars and hands-on training in a range of settings. The incumbent provides high level administrative support to both programs, including the Director of Externships, Clinical Professors, Associate Director for Clinics, Externship lecturers and placement hosts, law school students, and the Law School community.

The Program Administrator reports to the Associate Director of Clinical Programs.

Responsibilities

  • Assists with the daily operational needs of the Programs. This includes but is not limited to, providing high level administrative support to faculty, students and senior administrators.

  • Works with faculty and senior administrators to manage program calendars and events. Provides logistical support for programs and events, including booking rooms, arranging catering and technology, preparing written materials, coordinating invitations, scheduling and attendees, and other support as needed. Assists with, planning and coordinating instructor and student travel, meetings and workshops, and special events.

  • Works closely with Information Technology to provide assistance to faculty, staff and students. This includes but is not limited to updating various websites, course descriptions, online course materials, listservs, and enrollment technology. Works with IT to improve procedures and update training materials as necessary.

  • Works with faculty and senior administrators to update and/or create program printed materials such as course enrollment materials, viewbooks, and communications materials.

  • Manages communications with Externship Placement Site Supervisors and Adjunct Faculty regarding course requirements and forms throughout the semester. Serve as a point of contact for adjunct faculty in externship courses.

  • Assists with site placements for externships. This includes but is not limited to maintaining a database of available placements, how many externs they can host and any qualifications the require. Serve as a point of contact for students during the placement process and the semester.

  • Works with the Business office to process expenses. This includes processing of expense and travel reports for all Experiential Learning partners.

  • Works with faculty and senior administrators on the preparation of instructional materials including revision, compilation, organization and distribution.

  • Maintains and updates legal and organizational materials for client representation and program management, including case files and legal documents.

  • Acts as a point-of-contact for visitors to the department and direct guests as needed; respond to inquiries by students, clients and prospective clients.

  • Perform additional responsibilities as needed.

Minimum Qualifications

  • Bachelor's degree or its equivalent, minimum of 2 years of relevant experience.

  • Outstanding data management, administrative, organizational, and interpersonal skills required.

  • Excellent computer skills (Mac and PC) and experience including word processing, Internet, desktop publishing, PowerPoint, Excel and computer database management required.

  • Must be willing to learn and implement new technologies to enhance task performance. Excellent English oral and written communication skills required.

  • Demonstrated interest and participation in education or legal services is desirable.

  • Ability to initiate and follow-through with minimal supervision as well as meet deadlines, work under pressure, adapt to changing priorities, be part of a collegial team and balance competing assignments as necessary.

  • Must have good judgment and be able to maintain confidentiality.

  • Availability for some evening and weekend work required.

  • Must be able to work with diverse constituencies and support an inclusive work environment.
