We are looking for an administrative assistant position outlined below.

You will be supporting our mission by providing a warm and welcoming environment for our clients at our main office, as well as providing the agency with your skills to help serve our clients and further our positive impact. Administrative employees are vital members of our team, assuring the compliance documentation we submit to our funders and accreditation agencies is accurate and timely.

We are a nonprofit 501(c)(3) behavioral health agency, staffed by caring employees, working to help the mentally ill population of Oahu integrate more fully into the community. Our focus is improving the quality of life of all our clients through excellent care. We are a warm, welcoming and safe place for Oahu's most vulnerable populations.

Many of the individuals we work with, in addition to being diagnosed with mental illness, are diagnosed with substance abuse, many are homeless, and many have legal issues and other challenges. Our clinic provides psychiatric and primary care to clients across the lifespan including children and geriatrics. Our community-based case management team provides ongoing care coordination and wrap around services using the Recovery Model to adults with severe mental illness. And our stabilization facility provides short term shelter with intensive on-site case management services to adults with severe mental illness.

Our administrative team focuses on care coordination, quality assurance and continual improvement. The team collaborates in innovative problem solving and professional development. You will have the opportunity to learn the ins and outs of the health care system and work with a team of thoughtful professionals.

We are a close-knit agency, and you will have ample support from your peers and supervisors.

Your team includes managers with an open-door policy, you will have regular team meetings with all of the administrative staff, and you will be provided with ongoing training and career development opportunities

COVID-19

CER is an "essential business" in the state of Hawaii, and we are currently operating as normal. All staff in the field and in the office take protective measures. Our staff follows our COVID-19 policies and stays safe. We provide all the necessary personal protective equipment, including masks, hand sanitizer, etc.

Administrative Position II: Program Administrative Assistant

This position will work directly under the Program Coordinator and Operations Manager. This is an in-office position (not remote). The office hours are 8am-4pm, Monday-Friday. CER observes all State and Federal holidays.

General tasks include:

  • Coordination with funders and stakeholders regarding authorizations and utilization management
  • Program performance report building and analysis
  • Time sensitive report and tracking to funders
  • Phones, scheduling, greeting, mail, fax
  • Electronic records management
  • Coordinating vital client documents
  • Office supply tracking and ordering
  • Cleaning and sanitizing of office
  • Quality assurance projects
  • Provide basic computer troubleshooting support to staff
  • Special projects as assigned by a supervisor

Requirements

  • Previous experience in administrative work, preferably in a mental health setting
  • Prefer prior experience in utilization management/billing
  • Ability to troubleshoot computer issues
  • Excellent attention to detail and able to complete intricate and detail oriented tasks involving data/records
  • Comfortable with computers and adept at navigating EHRs, adobe, zoom, excel, word, and other online programs
  • HS Diploma/GED, bachelor's preferred

Our team is expanding and looking for several new team members!</p><p>You will be developing clinically based treatment relationships with clients (persons diagnosed with serious and persistent mental illness or SPMI), to assist them with integrating into the community using a structured recovery plan: psychiatric, medical, housing, substance abuse treatment, legal coordination and other services.</p><p>On a typical day, you will be driving to various locations to meet with your clients and stakeholders in the community and completing documentation. Transportation of clients is required, when needed and when client is safe for transport. You will maintain a low case load of eight to 13 clients, focusing on high quality client care.</p><p>This is a full-time position. You must be available 8am to 4pm Monday-Friday. However, as a field case manager, you will have flexibility of structuring your own workday. We provide all the necessary personal protective equipment, including masks, hand sanitizer, etc.</p><p><strong>WE SUPPORT OUR CASE MANAGERS</strong><br></p><p>We are a close-knit agency, and you will have ample support from your supervisors.</p><p>Your case management team includes managers with an open-door policy and licensed professionals who are always available to consult with you at any time.</p><p>Additionally, you will have regular team meetings, clinical supervision with your licensed supervisor, and ongoing behavioral health training. We provide ample training on evidence-based practices and community resources. Our approach to treatment is highly team oriented, so you always have the support of your peers and supervisors.</p><p><strong>Requirements</strong></p><ul><li>Preferred Bachelor’s degree in Psychology, Social Work, Health, Nursing, Counseling (or similar degree with course work in psychology)</li><li>Preferred 6-12 months experience (work, volunteer, or a combination) with at least one of the following populations: severely mentally ill (SMI/SPMI), developmentally disabled (DD), elderly, children, or other special needs populations.</li><li>Required: Access to a vehicle and valid driver’s license, clean driving abstract, and valid safety check.</li><li>People who do well in this role are skilled in communication, time management, and comfortable with autonomy.</li></ul><p><strong>Benefits</strong></p><ul><li>Up to 60k+, depending on performance.
