Position Title Professional Academic Advisor - Correctional Education Job Description
Established in 1964 at the Ohio State Reformatory, Ashland University offers the longest continuously operating postsecondary correctional education program in the United States. Over 50 years later, AU now provides college curriculum to over 2000 incarcerated students in more than 50 facilities nationwide. Operating under the institutional philosophy of placing "accent on the individual", emphasis has been placed on the development and delivery of courses through secure technology which allow individuals to work towards an educational degree while incarcerated Interaction with incarcerated students is required for this position.
Under the supervision of the Assistant Director of Records and Advising, this position is responsible for all aspects of academic advising correctional education students.
Manages a minimum caseload of 500 student advisees.
Develops and maintains advising plans for assigned caseload.
Ensures that all academic plans are current and up-to-date.
Maintains accurate records of interactions with students via site directors.
Works collaboratively with Site Directors to ensure accurate and timely course registration and degree/certificate completion.
Creates and confirms registration schedules for each assigned student every term.
Utilize any/all University retention strategies for assigned caseload.
Maintains the Student Information System in the areas such as but not limited to schedule building, course registrations, student add/drop/withdrawal, grade changes, incomplete grades.
Participate in the planning, implementation, and evaluation of the academic advisement programs goals and objectives.
Works cooperatively with the managers of the Learning Management System(s).
Collaborates with other team members to evaluate transcripts for students with previous college credits, ensure proper transferability and applicability to earning degrees/certificates.
Collaborates with Financial Aid to ensure proper use of Title IV funding.
Collaborates with the office of Veterans Affairs to ensure proper use of VA funding.
Works collaboratively with the Records and Registration Office with degree completion graduation application submission and reporting and any other records procedures.
Collaborate with peers by participating in the exchange of ideas, information and philosophies through professional development.
Ensures departmental compliance of all FERPA regulations.
Other duties as assigned.
Required Qualifications
Bachelor's Degree required from a regionally accredited institution
Three (3) years experience in higher education advising and record maintenance
Excellent written and verbal communication skills
Commitment to confidentiality
Ability to perform independent research

Preferred Qualifications
Master's Degree preferred from a regionally accredited institution
Experience in correctional education
Physical Demands
This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to; stand, walk, use hands to finger, and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 25 pounds.
This is a full-time position, and hours of work and days are Monday through Friday, with normal hours between 8:00 a.m. to 5:00 p.m. From time to time working hours may be modified and exceed the standard work week. The position may require occasional travel.
