Evolution is looking for an experienced Procurement specialist who is responsible for organizing and undertaking purchases of equipment or services requested by internal customers within the Properties and Studio Development department.
Responsibilities include, but are not limited, to:
Monitoring of requests for purchases made. Procurement specialist needs to understand the request made and make effective decisions on the most appropriate manner to source (e.g. use of approved suppliers / issuing of tenders or RFPs / searching for new suppliers or better prices / etc.), the most appropriate purchasing strategy (buying locally or international, buying in bulk or just-in-time), and to take note and act according to the priority of the purchase.
Act as a channel to communicate information to and from prospective suppliers, including negotiating the purchasing terms as necessary.
Coordinates internally the collection of requirements to be put in a tender and use own experience to challenge Evolution staff if these requirements are excessive and would make the purchase too costly or delay delivery unnecessarily.
Take responsibility to keep appropriate documentation to support vendor choice and then communicate Evolution's confirmation of the purchase to the chosen supplier with purchase order or via legal contract with the involvement of Evolution legal team.
Subsequently track the order, by monitoring lead times to delivery, and managing the communication with the supplier and Evolution managers if there are any delays or delivery which do not comply to set specifications.
Support the approval process of purchase invoices for payment.
Assist in the process of warranty claims, returns and similar issues with suppliers.
Work with Purchasing Business Controller (Business Control team) in supplier performance and evaluation management. This will include development of profitable purchasing strategies and a periodical review of contracts and suppliers with an aim to trigger price, term review or change suppliers if this is more advantageous to Evolution.
Assist in providing recommendations for automation of processes and improvements in efficiency in purchasing.
Monitor conduct of staff involved in the purchasing process, escalating appropriately if there are instances of attempt to circumvent Evolution's purchasing and / or budgetary policies.
To obtain and keep up to date with duty, VAT and other similar taxes and applicable charges in the countries were performing purchases from / to.
Perform other duties, as asked by the manager, which are related to this position and which meet the qualifications.
Replace colleagues during their vacations, sick leaves and other absences.
Prepare and maintain work instruction for position held, be able to train new team members.
