The Enterprise Technology Office is seeking a Contracts Analyst that will be supporting the ET Contracts Manager with providing support services related to software and hardware contract management. This role is designed for a proactive, forward-thinking individual who is committed to maintaining the highest standards of contract management, ensuring that the Enterprise Technology remains at the forefront of operational efficiency and contractual compliance.

This is done through the collaboration and guidance of the ET Contracts Manager, the Procurement team, and the ET Finance Team. This individual should have a foundational understanding of contract administration, such as, the lifecycle of contracts. The ideal candidate will thrive in a team-oriented environment, proactively offering support to guarantee that contractual obligations are fulfilled efficiently and effectively, with a particular focus on preemptive renewal strategies.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%)

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (15%)

  • Regular activities require the ability to quickly change priorities and adapt to swiftly changing requirement, which may include and/or are subject to resolution of conflicts.

  • Ability to clearly communicate to perform essential functions.

Minimum Qualifications

Bachelors degree in business, supply chain management, procurement or other related field and one (1) year of supply chain or procurement experience, OR, five years of equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Essential Duties

  • Proactive Contract Management: Documenting and Analyzing current contracts for completeness and accuracy.

  • Renewal Strategy Implementation: Take a proactive stance on contract renewals, ensuring early engagement and bringing in the ET Contracts Manager, purchasing and finance to help with strategic negotiations to secure favorable terms and avoid lapses in service or licensing.

  • Cost Management: Perform analysis on the historical and current contracts related to spend data, usage patterns, future demands, and benchmark data.

  • Lifecycle Oversight: Manage the entire contract lifecycle, including the meticulous documentation, amendments, proactive renewals, and terminations, while maintaining precise and current contract records.

  • Performance Monitoring: Assist the ET Contracts Manager in reviewing the performance and compliance of contracts.

  • Efficiency and Process Improvements: Assist in the development and refinement of contract management tools, techniques, processes, and procedures to enhance operational efficiency and minimize risk exposure.

  • Collaboration and Alignment: Work collaboratively with the Office of General Counsel (OGC), procurement teams, finance teams, security teams, and other business units to streamline the process related to compliance, risk, and regulatory needs.

  • Vendor Relations: Regular engagement with low to mid-level vendor contracts to ensure there is still value add for the Enterprise Technology Office.

  • Contract Repository: Establishes and maintains the central repository for all Enterprise Technology Office's related contracts and their supporting documentation, such as security reviews, in order to facilitate an ease of access, references, and reporting as needed.
