What you will be doing:
This role will be a key member of the Procurement team and will assist in implementing and managing procurement programs for goods and services to support all property and corporate operations. Position will support and communicate with all departments of the organization to ensure programs meet the needs of all users and that compliance with goals and objectives is achieved. Position supports field operations across the company. Position will help to manage and train the Company's electronic procurement system. Position represents the company in its relations with residents, employees and vendors and must reflect the attitudes, policies, procedures and general personality of the Company. Position completes other initiatives and projects as directed by the Director of Procurement.
Stay up to date on new designs, products, price points and advances in applicable industries.
Assist the Director of Procurement in the creation of Requests for Proposal (RFPs) based on defined goals and specifications.
Identify potential partners for different categories and maintain bidders lists for each.
Facilitate the issuance of RFP's to potential bidders, and answer questions as needed through process.
Receive bids and prepare bid analysis.
Review contract terms as needed, and forward to appropriate parties for review and/or approval.
Develop communications "roll out" to inform internal parties of the details of the purchasing programs and partnerships.
Perform ongoing project/contract management and support for existing programs and partnerships.
Track programs and ensure contractual obligations are being met. Assist properties with questions and/or issues with programs as needed.
Assist with outstanding payables and issue resolution
Complete audits and reconciliations where required to clear outstanding issues
Work closely with Accounts Payable when required to ensure vendors are paid in a timely fashion
Purchasing Software Platform
Function as an inhouse expert on company's purchasing software platform (currently, OPS Technology) and assist communities as needed
Assist in managing vendor catalogs and offerings
Purchasing and Audit Compliance
Perform reviews as directed of property purchasing under centralized programs to ensure compliance with vendor selection and pricing programs.
Review, research and approve all requests for new vendors as appropriate.
Complete program analyses following implementation to ensure expected metrics are being met, to evaluate program success and to identify potential implementation or design problems affecting performance
Work with regional teams on implementation and provide high level oversight and support
Monitor and maintain centralized Purchasing mailbox, answering questions and forwarding and escalating issues as needed.
Bachelor's degree (B.A.) from four-year College or university; or equivalent combination of education and experience.
Purchasing experience required
Experience supporting procurement programs required
Experience with the Requests for Proposal (RFPs) process
Property management experience preferred
