The Purchasing Coordinator is the front-line connection to our Suppliers for all purchasing matters related to Facilities Management purchase orders, bidding, performance and compliance with Caravan's policies and procedures. The role effectively manages and maintains the PO needs of all suppliers to be sure our Customers are taken care of while maintaining budgets. Critical to this role is the ability to complete these tasks timely and accurately.

What this position involves:

  • Prepare and release Purchase Orders (POs) based on contractual schedules and budgets.

  • Prepare and release Purchase Orders (POs) based on Corporate and satellite offices requests, and budgets.

  • Oversee the bidding process including preparing bid packages, setting deadlines, reviewing bids for accuracy, and providing recommendations concerning which supplier should be awarded the contract.

  • Provide recommendations and guidance concerning the "best choices" for contracting new suppliers.

  • Maintain budget documentation and complete budget data while providing relevant reporting required by other supported team members.

  • Review scope of works and requests for proposal prior to bid package preparation.

  • Notify suppliers, and Caravan staff of applicable changes and ensure that they have access to the most up to date information

  • Tracking supplier orders up to delivery to ensure accurate and intact product was received.

  • Provide administrative support to facilities management initiatives including scheduling and quality assurance.

Qualifications:

  • Bachelor's degree required

  • A minimum 1-3 years of experience in purchasing or financial background

  • Proficiency in MS Office products with an extreme emphasis in Excel

  • Strong analytical skills

  • Ability to read and interpret proposals and customer documents

  • Contract management skills

  • Enjoy a fast paced, high-volume work environment

  • Great attention to detail

  • Strong negotiation and influencing skills

  • Not afraid to ask questions

  • Proactive in addressing questions and concerns in a professional manner

  • Can work independently as well as with a team

  • HIGHLY ORGANIZED

  • Experience with NetSuite is a plus, but not required.
