Duties associated with this position are largely clerical in nature.  An employee in this class will work in a highly stressful environment, under often-harried conditions.  Position requires a high degree of responsibility; exceptional skill in communicating with probationers of all ethnic, cultural, and socio-economic backgrounds; and requires the ability to learn many facets of criminal procedure and the criminal justice system.  The employee works under close supervision of the Senior Probation Officer and the Director.  Work is reviewed through reports, observation, and meetings.

Assist probation officers in the initial processing of defendants sentenced to various probationary supervision programs, typical duties include:  Obtaining personal and locator information from defendants, establishing case files, compiling sentence orders, data entry of all personal and legal information, scheduling processing dates and times, providing assistance in processing sessions- including the collection and receipting of court-ordered monies and fees, the performance of in-house drug screening, and the scheduling of various appointments

Serve as point of contact for defendants, attorneys, court personnel, and others conducting business in the SWR Office.  Receive and direct incoming phone calls to office staff.  Ensure that adequate copies of office forms/documents are maintained.  Ensure that adequate office supplies are on hand.  Perform filing and maintenance of office filing system.  Perform data entry, typing, and other clerical work as assigned.

Serve as the point of contact for probationers reporting to the SWR office to make payment of court-ordered monies.  Collection responsibilities include the retrieval of appropriate office case files, the retrieval of the case and fee sheet information from the Alabama State Judicial Information System, the collection of monies, and the accurate recording and receipting of collected monies in the SJIS.  Additional responsibilities include the accurate notation of payment history in office case files, the secure handling of collected monies, and the daily accounting of all monies collected.

As needed, assist probation officers in court proceedings, including attendance at arraignment dockets and revocation dockets.  Assist in responding to requests from Judges, draw-up appropriate court documents, and aid probation officers in effecting court orders involving Suspended Work Release clients. Education and Experience 

  • High School Diploma or equivalent required.  
  • Two years of college with an emphasis on a study in criminal justice, psychology, business administration, or public administration is preferred. 
  • Prior related work experience is also preferred.

Knowledge, Skill, and Ability

  • Requires a basic understanding of the psychological concepts of human behavior, social adjustment, and emotional stability; and basic knowledge of criminal procedure and the criminal justice system. 
  • Ability to communicate professionally and effectively with people of all ethnic, cultural, and socio-economic backgrounds. 
  • Ability to accurately perform assigned duties and clerical tasks under stressful working conditions. 
  • The ability to accurately handle and account for large sums of money is imperative. 

Certifications or Licenses Required

  • Must have a valid driver's license and be at least 21 years of age.  
  • Must have no prior history of drug/alcohol abuse or addiction, or conviction of any crime of moral turpitude as defined by the Alabama Peace Officers Standards and Training Commission.

 Work Schedule 

  • 8:00 a.m.- 5:00 p.m.
  • Monday- Friday
