The primary responsibility of the Private Wealth Associate II is to deliver an exceptional client experience to our most valued customers by providing administrative and operations support to assigned sales officers within the Private Wealth Management division.

The support is based on specialty area, such as: Trust Advisors, Portfolio Managers, Private Bankers, Wealth Advisors or Regional Managers. The day-to-day support is contingent upon the specialty area and will focus on providing personalized and tailored interaction as needed.

Specific duties vary based on specialty area and include activities such as: Opening of new accounts; preparing all account documents, loan document entry and application support, reports, and correspondence; preparing and delivering customer analysis, reports and communications, producing high quality client presentations, using a variety of complex systems to research, gather, respond to questions, etc.

Respond to complex customer service problems, questions, and escalated issues from internal and external sources in a professional and timely manner. Promote client services in a manner that maintains and expands business relationships and enhances the image contributing to growth while following Bank policy.

Actively engages with the client to uncover their needs. Responds to client requests with a sense of urgency or sets reasonable expectations.

Accountable for all Officer/areas administrative needs including but not limited to; monthly expense reports, travel arrangements, coordinating client meetings and events, filing and record maintenance, etc. May require managing assigned sales officer's calendar; schedule appointments, organize and plan meetings, maintain appropriate follow up.

Build positive relationships with coworkers and clients conducive to obtaining referrals and new business generation. Responsible for all documentation required to meet compliance standards and Bank regulations. Requires complying with all applicable laws, rules and regulations such as CIP, Reg 9, and document management/ retention policies contingent on area supported.

This role also provides oversight on some aspects of the Client Service Associate's responsibilities. The Senior Client Service Associate is also responsible to research client enquiries and issues to bring about resolution. KEY ACCOUNTIBILITIES * Demonstrate a passionate commitment to serve clients in the accurate and highly productive completion of the more complex transactions. Responsibilities include: * Execute on securities pricing and capital calls * Complete securities processing for purchases and redemptions * Supervise all aspects of gifting (cash, in-kind, gift letters, Crummey letters) * Execute on ad hoc bill-paying and set up of recurring payments * Manage clients' quarterly tax payments and annual IRA contributions/RMDs * Research and resolve overdraft situations * Prepare new account packets and open new accounts & sub-accounts * Complete second review of administrative reviews * Provide documentation for Annual Review Suite * Provide administrative support (answer telephones, prepare correspondence, maintain files) * Research and analyze fees * Assist clients with Portfolio Online * Prepare charge-off forms when necessary * Prepare well written correspondence as needed * Initiate contact with clients and their advisors where appropriate * Assist with file coordination for quarterly administrative & investment reviews * Provide back-up responsibility for inputting or approving cash processing transaction functions * Proactively anticipate and address client needs. Promptly research and bring about resolution of all client issues. * Provide integral support for client service teams and special projects. * Achieve and sustain a balanced approach to managing risk by ensuring compliance controls and processes (regulatory, compliance, fiduciary) are integrated into day to day activities. * Contribute to a strong organizational culture through positive, collaborative behaviors resulting in client and employee engagement. * Pursue continuous improvement and be a problem solver by anticipating obstacles, developing plans to overcome and looking for ways to improve. Qualifications * Bachelor's degree and/or 4-5 years' experience in trust and account administration and/or investments * Experience in personal tax, financial planning or investment management * Mastery of TrustDesk, ORS, IDS and CSC systems * Proficient with Microsoft Word, Outlook, Excel and Power Point * Strong client service commitment * Strong interpersonal and verbal communication skills with the ability to use these skills to communicate with high net worth clients and colleagues * Strong organizational skills sufficient to complete work according to established schedule and timeframes, while accommodating given priorities.
