The Technology Deployment Outreach office seeks a highly organized and motivated Principal Administrative Coordinator to provide comprehensive, executive-level support to the Chief Commercial Officer and oversight of the organizational administrative functions. In this role, the successful candidate will work in partnership with the Chief Commercial Officer to ensure that staff have the resources they need to achieve optimum success.

As a Principal Administrative Coordinator, the ideal candidate will use advanced knowledge of administrative functions and Laboratory policy and procedures at PNNL to provide comprehensive, high-level support to the Chief Commercialization Officer of the Technology Deployment Outreach (TDO) Office and staff while efficiently anticipating, prioritizing, and implementing organizational missions, commitments, and procedures.

Responsibilities

Performs administrative and office support activities. Duties may include managing schedules, emails, and travel, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. More specific duties depending on discipline may also include development of required documentation and fielding questions from internal or external stakeholders.

The responsibilities of this position include, but are not limited to:

  • Serves as the assistant to the Chief Commercialization Officer ("Officer").

  • Guides administrative support staff member in the TDO organization.

  • Coordinates and responds to a variety of inquiries from both internal and external sources, on behalf of the Officer and the TDO organization.

  • Coordinates Laboratory tours, meetings and related industry engagements, on behalf of the Officer and the TDO organization

  • Expertly manages complex schedule and communications on behalf of the Officer, effectively anticipating needs of the Officer, direct staff, and TDO office.

  • Assembles, researches, and abstracts information in advance in preparation for trips, meetings, reports, and presentations.

  • Makes travel arrangements which often include frequent in-travel disruptions, troubleshooting and coordination with the in-house travel representatives. Handles all aspects of the travel management process, including submission of travel requests, coordinating domestic and foreign travel arrangements, completing expense reports, and monitoring corporate credit card accounts.

  • Guides the administrative workflows on behalf of the Officer and organization, including by prioritizing and engaging the group administrator, other organizational coordinators and others, as necessary, to ensure task completion.

  • Actively monitors and triages email on behalf of the Officer; will routinely draft e-mail and correspondence in coordination with and on behalf of manager.

  • Communicate and correspond with administrative and coordination staff at a high level across the laboratory and external parties.

  • Maintain effective working relationships with administrative counterparts across the laboratory, DOE, sponsors and other organizations.

  • Manages logistics for visitors which may include tours, meetings, visits, workshops, or candidate interviews at PNNL. These may be in-person or virtual.

  • Identifies and makes recommendations to resolve administrative issues/processes affecting the organizational unit and teams to develop solutions.

  • Leads administrative teams to assure the administrative resources within the organization are maximized and to ensure that administrative processes and requirements are being adhered to.

  • Will provides training and guidance to less senior or new staff when necessary.

  • Independently handles routine-to-complex business issues of an administrative and sometimes ambiguous nature; demonstrates sound judgment and follow-through with attention to detail in advisement and monitoring of organizational activities and coordinating activities across the organization. Must possess the ability to recognize and adhere to diverse requirements, meet critical deadlines and work to resolve issues in a timely manner.

Qualifications

Minimum Qualifications:

  • High school diploma/GED and 12 years of relevant experience in an administrative environment -OR-

  • AA degree or higher and 10 years of relevant experience in an administrative environment.

  • Experience in planning meetings and coordinating travel

Preferred Qualifications:

  • Experience supporting an executive level manager strongly preferred.

  • A history of effectively performing complex administrative tasks with competing priorities; tracking and initiating actions efficiently and appropriately for a wide diversity of assignments; and working effectively in a dynamic, demanding, and sensitive environment.

  • Experience with functioning in a high-paced environment.

  • Demonstrate sound judgment and attention to detail when performing tasks.

  • Deal professionally with sensitive and confidential matters and materials.

  • Experience base should clearly demonstrate high proficiency in office management, administrative skills, attention to detail, responsiveness, organization, work prioritization, judgement, discretion, conflict resolution, hosting senior visitors, and independent action and follow-through.

  • Strong interpersonal skills to positively interact and team with a wide variety of staff and sponsors are crucial to this position.

  • Advanced working knowledge of Microsoft Office Suite and video conferencing applications.

  • Knowledge of Battelle, PNNL, and DOE policies and procedures, and organizational structure is preferred.

  • Excellent written and verbal communication skills to communicate effectively with a diverse population, including high level managers and clients.

  • Demonstrated ability to multi-task, prioritize and organize work under tight deadlines and changing priorities.

  • Ability to provide oversight, guidance, and training to less senior or new staff when necessary.

To obtain this credential, new employees must successfully complete and pass a Federal Tier 1 background check investigation. This includes marijuana and cannabis derivatives, which are still considered illegal under federal law, regardless of state laws.
