Job Purpose:

This position sits within the Commercial Services function of Client Services and is responsible for all aspects of proposal management within a defined geography and industry sector. The Proposals Manager is the owner of the process from hand-over of initial enquiry by a Sales Director (via the CRM process) through to completion of the contracting process. It is the responsibility of the Proposals Manager to ensure that a high quality, fit for purpose bid proposal is generated in a timely manner via effective communication of the customer's requirements within the business.

Responsible for the early customer experience with our organization, the Proposals Manager must have a good understanding of the work we perform and the key factors to consider when designing studies. A key attribute is the ability to develop excellent working relationships with colleagues.

Although this position is predominantly internally focused some customer interaction may be required when complex enquiries require detailed discussion during proposal generation.

This job contributes to organizational success by:

Strategic

  • Attending and contributing to Sales and Client Services team and departmental meetings

  • Gathering business intelligence and report back information to relevant personnel

  • Participating in formal training as appropriate and maintain a record of training

Operational

  • Preparation of timely, consistent and high quality responses for customers as advised via the internal triage process

  • Using knowledge of the services offered, bring together the information needed or utilise the appropriate experts to provide the relevant details

  • Working with resource management groups, costing and pricing functions as appropriate

  • Ensuring that the core information provided by Sales Directors is sufficient to enable a fit for purpose response

  • Ensuring that the information needed for provision of accurate contracts and AWNs is available

  • Adherence to assigned KPIs (e.g. defined timescales from receipt of enquiry to delivery of proposal document via Sales Director)

  • Adherence to the structure and inputs required by the CRM

  • Working with the Pricing function to ensure that the best knowledge about the customer is applied to study pricing

  • Working with Legal and Finance Departments to ensure that the correct and appropriate terms and conditions are used

  • Ensuring that appropriate contracting format is utilised

  • Work with Operational departments to ensure that resources (e.g. outline protocols) are updated and that you are aware of any changes which may affect the enquiry process

  • Supporting the Account Management team as required by provision of proposal information for specified accounts.

  • Identifying opportunities for system and process improvement within the enquiry handling process

  • As required support production of customer specific RFI responses

Customer Facing

  • Act as the point of contact for Sales Directors, Operational, Finance and other internal customers for interactions on proposals

  • Developing a strong and collaborative relationship with the Sales Directors to enable provision of high quality proposals

  • Maintaining a high level of awareness of interactions between Sales Directors, Key Account Directors and their customers.

  • Developing a strong relationship with other internal customers

  • Where appropriate engaging with external customers to ensure accurate information is utilized in bid preparation

  • When requested by the Sales Directors, hosting customer visits and on-site tours.

Determining standard, variable, and value add costing parameters based on RFP and protocol. * Contributing to standard, variable, and value add costing parameters based on RFP and protocol. * Coordinating & collaborating with team members to review Fee Schedules for large trials and/or Programs to determine best pricing strategy and provide guidance and approval, while keeping GS, BU Heads, SMEs and Sales updated throughout the process. * Incorporating any required sponsor revisions into cost formulas and documenting same for all proposals or change orders generated within the proposals group. * Discussing and Reviewing all proposals per current Bain RAPID approval matrix * Ensure Pricing generated within the proposals group meetings margin guidelines per the approved gross margin calculator or PriceBook Ensures pricing and proposals timelines are met by: * Managing workload and ETA's for assigned requests * Attending and preparing information for team meetings Maintains Quality Service and Departmental Standards by * Ensuring ongoing understanding of Bioclinica services * Reading, understanding and adhering to organizational Standard Operating Procedures (SOPs) * Assisting in establishing and enforcing departmental standards * Ensuring all reviews, approvals, documents and analysis are filed in accordance to team requirements.
