Location

Our Kennesaw campus is located at 1000 Chastain Road NW, Kennesaw, GA 30144. Our Marietta campus is located at 1100 South Marietta Parkway, Marietta, GA 30060.

Job Summary

Responsible for the planning, logistical support and execution of Presidential, Signature and VIP events from start to finish according to requirements, target audience, and event objectives. Works to support the President's initiatives which includes large community events hosted by the campus, including guest speakers, Board of Regents meetings, and special ceremonies. Serves as the event liaison maintaining a high level of professionalism, a high degree of tact, and ensuring a high standard of quality client/customer satisfaction.

Responsibilities

KEY RESPONSIBILITIES: -

1.Oversees the planning, logistics, and management of Presidential, Signature and VIP events, serves as primary point of contact for constituents and researches and reserves space across campus and off-campus

2.Coordinates, trains and oversees on-site, event day staff by providing role descriptions, expectations and support

3.Produces, reviews and executes vendor contracts and invoices and monitors the collection of fees; communicates regularly with community vendors

4.Develops and maintains events expense trackers for all Presidential, Signature and VIP events, ensuring compliance with USG, University, and Foundation policy

5.Supervises, schedules, and trains assigned staff

6.Maintains department purchasing card

7.Leads event committees working with campus and community representatives

8.Designs the artistic and logistical plans of all events, including set-up/layout, catering, visual materials, etc.

9.Oversees timelines and supervises activities to ensure all contractual obligations are met



  1. Serves as back-up in the absence of the leader(s) regarding Presidential Events

Required Qualifications

Educational Requirements

Bachelor's degree from an accredited institution of higher education in a related field

Other Required Qualifications

Current, valid, and unrestricted driver's license

Required Experience

Five (5) years of demonstrated experience in event management

Preferred Qualifications

Preferred Educational Qualifications

Advanced degree from an accredited institution of higher education

Preferred Experience

Event Management System software experience or similar software a plus

Prior experience with event operations at an institution of higher learning

Demonstrated experience progressing multiple simultaneous projects, working efficiently under pressure and managing conflicting priorities

Proposed Salary

The budgeted salary range is $56,720 to $63,100. Offers are based on relevant experience.

ABILITIES

Able to work nontraditional shifts (nights, weekends and holidays) to accommodate event schedule

Ability to exercise sound judgement and establish effective relationships with all levels of the organization

Able to negotiate with vendors and suppliers

Able to handle multiple tasks or projects at one time meeting assigned deadlines

KNOWLEDGE

Demonstrated experience in event management

Budgetary experience

SKILLS

Excellent interpersonal, initiative, teamwork, problem solving, independent judgment, organization, communication (verbal and written), time management, project management and presentation skills

Proficient with computer applications and programs associated with the position (i.e., Microsoft Office suite, EMS software and systems)

Strong attention to detail and follow up skills

Strong customer service skills and phone and e-mail etiquette
