Job Summary

The Buyer replenishes, purchases and assists with the selection and placement of products throughout the Co-op stores in order to achieve the Global Ends. Purchases and stock product for Prepared Foods and other sub departments as assigned. Provide excellent customer service and contribute to the financial health of City Market. Provide the highest level of customer service to the City Market shopper. Support department objectives for sales and margin by purchasing product and assuring acceptable inventory levels. Participate in routine department tasks such as stocking, rotation, cleaning and quality control.

General Accountability

Reporting to the Prepared Foods Manager, the Prepared Foods/Bakery Buyer will help accomplish goals set towards positive operating results. The Buyer strives to purchase product when needed in order to maintain acceptable inventory levels. The Buyer helps work toward effective inventory control. This position helps provide an attractively merchandised department and keeps co-workers well-informed so they can provide excellent service to members/customers.

Supervisory Responsibilities


Essential Duties and Responsibilities

  • Develop and maintain good relationships with vendors in order to obtain quality merchandise and identify new products.

  • Implement promotional, monthly, and other sales goals as directed by the Prepared Foods Manager and Purchasing leadership.

  • Ensure accurate and informative signage by identifying and signage discrepancies.

  • Direct and train department stockers under the guidance of Prepared Foods Managers.

  • Work collaboratively with department staff to ensure that the Prepared Foods department (Cheese, Bakery, Grab n Go) is well stocked and faced with customer convenience as a priority.

  • Ensure that inventory on shelves (coolers), displays and end caps are maintained as directed by the Prepared Foods Manager.

  • Participate in stocking, organizing and cleaning department.

  • Participate in organizing all backstock, upstock, sectors or other areas of stored inventory as directed by department managers.

  • Ensure product safety by following all state, US Dept. Of Health and FDA regulations, monitoring cooler temperatures, and product temperature.

  • Participate in monthly or quarterly inventories.

  • Ensure organized and effective ordering procedures and files are updated, under the direction of the Prepared Foods Manager.

  • Assist with special orders and provide culinary recommendations.

  • Work with stockers to establish product placement and ensure that facing is correct.

  • Work to ensure that credits, mispicks and damages are maintained under the direction of the Purchasing and Merchandising department.

  • Exhibit an awareness of ordering decisions through receiving, stocking, and merchandising.

  • Follow set par guidelines and ordering best practices and procedures

  • Ensure appropriate communication and coordination of product movement.

  • Merchandise products as directed by the Prepared Foods Manager and Purchasing leadership to help achieve financial goals of the department.

  • Work to ensure proper merchandising techniques are being practiced in coordination with Co-op standards.

  • Under the direction of the Purchasing and Merchandising department, assists with fostering vendor relationships.

  • Follows the category management calendar. Participates in resets and helps to provide excellent communication of product changes to staff and customers across store.

  • Under the direction of the Prepared Foods Manager and Purchasing leadership, work within purchasing and merchandising department to ensure City Market branding initiatives and guidelines are followed.

  • Actively support the store in meeting or exceeding sales and margin goals.

  • Facilitate teamwork across sales departments and business units to achieve merchandising objectives.

  • Keep abreast of industry knowledge and conditions of the local marketplace, trends, product mix and selection, through self-education and attendance at Retail Sales Meetings.

  • Support the Co-ops Global Ends, Principles and Diversity Statement.

  • Be proactive about creative self-learning and professional development. Attend all required meetings, trainings, seminars and workshops.

  • Follow all department policies and procedures in order for City Market to adhere to all State and Federal regulations.

  • Be responsible for safety in the workplace by creating a safe work environment, reporting safety concerns to a manager and adhering to all safety rules and regulations.

  • Perform other duties as assigned.

  • Model and demonstrate a willingness to provide outstanding service in all areas of the job with a constant focus on customer service.

  • Previous experience with conventional and natural grocery retailing and /or specialty food service or related experience required.

  • High School Diploma or GED equivalent.

  • At least two years of grocery retail, buying, or related


  • Knowledge of organic, natural, conventional foods and the food industry preferred.


Language Skills

  • Ability to speak/understand English language and read/comprehend complex instructions, as well as product/pricing information.

Technical Skills

  • Solid understanding of Microsoft Office Suite.

  • Public speaking and presentation skills preferred.


  • Must demonstrate clear and expressive verbal and written communication skills, as well as genuine active listening skills.


Reasoning Ability

  • Ability to apply deductive reasoning and carry out simple instructions, Ability to deal with changing situations with multiple variables, and the ability to make reasoned decisions within established guidelines.

Physical Ability

  • Work places many physical demands on employee consistent with stocking product in a grocery environment, occasionally including freezers and coolers. Must be able to stand and walk for up to an 8 hour shift, stand, walk, sit, use hands to handle and feel, reach with hands and arms, climb, balance, stoop, kneel, crouch, crawl, talk, hear, see at a close distance and up to 20 feet, taste, smell, carry and lift 40 to 60 lbs. , including overhead frequently.

Work Environment

  • Noise level ranges from moderate to high at times. May be required to work in high, precarious places, work near moving mechanical parts, some chemicals, exhaust fumes and frequent varying weather conditions.
