Overview

The Preconstruction Coordinator will be responsible for a variety of administrative and preconstruction tasks in support of the creation of bids, qualifications, proposals and presentations relating to project pursuits.

Responsibilities

  • Collect and organize project bidding documents

  • Maintain estimating/bid opportunity schedule

  • Assist in the assembly of project proposal documentation, including arranging internal reviews

  • Coordinate qualifications, bid and proposal activities to meet deadlines

  • Complete pre-qualifications and update prequalification database

  • Maintain and update database of resumes and project sheets and references

  • Build collaboration with operations staff to facilitate team synergy, creativity and effectiveness.

  • Help maintain and organize company information, materials and associated document files or databases.

  • Oversee implementation of CRM (Customer Relationship Management Tool) for Preconstruction department, including; data collection, structure, management and training.

  • Maintain and organize proposal files for easily accessible content that can be duplicated for similar proposals.

  • Additional tasks as may be needed to support the preconstruction team.

Qualifications

  • Excellent written and verbal communication skills in varying environments

  • Excellent creative writing skills and ability to represent the organization effectively in a client facing environment

  • Extensive knowledge of general office procedures and practices

  • Demonstrated multi-tasking, data entry skills, and prioritizing skills

  • Ability to work independently and meet multiple deadlines

  • Proven communication, organizational, documentation and interpersonal skills

  • Excellent computer skills including Microsoft Office, and Adobe Creative Suite (InDesign, Photoshop and Illustrator)

  • College degree preferred. Equivalent experience will be considered

  • Minimum of 2 years of preconstruction or related experience in the construction industry highly desired

  • Ability to oversee rollout of initiatives through completion in a fast-paced environment

  • Prior electrical construction industry experience helpful

Some programs are offered on campus and others at off-campus sites more convenient to persons living outside of Pueblo. Off-campus instruction sites include Colorado Springs and Fort Carson. The Division of Extended Studies provides courses to part-time and non-traditional students. Many educational methods - classroom instruction, correspondence courses, online courses, conferences, workshops and seminars - are utilized to expand educational access and meet the needs of students at convenient times and settings. Students may earn academic credit toward a degree, study for career advancement, or pursue cultural and vocational interests. The Extended Studies Coordinator support position is responsible to help with ongoing projects and programs to ensure success while the college implements a new Student Information System. This position will provide support to ensure the current administrative and business operations do not lag in the transition. The position will work closely with program coordinators and specialists to provide support in the areas of administrative, business and accounting, as well as customer service to ensure consistent customer service operations for our partners and students. The proposed length of this assignments is 2 years. Based on the progress of the Banner project, this timeframe could be shortened or lengthened. Though this is considered a temporary assignment, this position does come with benefits including medical, dental, and vision insurance, as well as leave accrual and holidays. Description of Job Primary Duties * Provide invoicing and administrative support for Teacher Education Program (TEP), and High School Programs, in billing, and allocation of payment to proper accounts, and maintain balance reports. Preparation of invoicing and documentation of verification from Extended Studies partners. * Complete job offers for all adjunct and faculty support contracts for the multiple programs and departments using the DocuSign process when possible. Routing contracts effectively through multi-signature process and maintain accurate record of job offers to ensure compensation is allocated timely and accurately. * Call and follow-up with customers on outstanding balances for account receivables. Assist with student inquiries to Extended Studies academic programs. * Provide needed Kuali support for travel card and assist Short Course Coordinator with expense reports and verification of payments. Deliver monthly invoices to Accounts Payable department in a timely manner and confirm payment of invoices. * Provide front desk, customer service support, including but not limited to, answering the phone, answering student questions, providing office coverage.
