We are seeking an ambitious energetic and self-motivated Preconstruction Coordinator to join our team.
The Preconstruction Coordinator provides administrative and organizational support to the Preconstruction/Estimating Department with daily department operations, bid day support, and management of subcontractor database. The position will also support the Marketing Department on an as needed basis and provides back up receptionist duties.
Assists Preconstruction Department in day to day functions including:
Network Folder Set Up for new projects
Downloading and/or ordering plans and specifications
Scanning and/or duplicating large format documents
Procurement of bidding subcontractors and suppliers (phone calls).
Bid day proposal delivery and organization
Compiling as required, subcontractor risk assessment:
Verifying appropriate trade/credit references, and financial information is attained for review by controller and CFO.
Pull Experian credit reports.
Compiling information on Subcontractors for future use.
Create file systems for financial reviews
Managing and receiving information for required client spreadsheets (i.e. quantity surveys, HPG purchasing documentation, etc.)
Set up Project Information Content for File Maker Pro Subcontracts (Project Name, Location, Drawing Log, Specification, Addenda, etc.)
Manage input of Opportunities set up in ZOHO by preconstruction staff
Learn programming skills for FileMaker Pro-contracts
Manage invoices for printing
Set up Pre-con agreements for signature
Assist with contacting Subcontractors for bid work (phone calls).
Management of subcontractor data base
Updates and maintains subcontractor database under supervision of Preconstruction Managing Director
Assists Marketing Department in compilation of RFP responses including
Network folder set up
Downloading and/or order RFP documents
Updating In-Design Files as needed
Making copies and assembling response books
Required Education and Experience:
Two years related construction administrative experience
Demonstrated understanding of Construction CSI Divisions and Trade Codes
Knowledge of building construction, materials, systems, and market conditions
Proficiency with the Microsoft Office suite of products (Word, Excel, PowerPoint, Outlook)
Strong communication skills
Strong organization and planning skills
Ability to manage multiple tasks
Strong detail orientation and commitment to accuracy
Ability to learn quickly and adapt to changing environments
