Job Summary Knowledge of EPIC appointment scheduling and ability to schedule, cancel, and work in patient appointments. Obtains required demographics and insurance data and enters information into EPIC.

Capable of setting up accounts, adding and/or changing demographics and insurance information, understands procedures needed to ensure accuracy. Follows protocol to merge duplicates. Proficient in following provider preference scheduling protocols and office wide scheduling protocols to ensure patients are scheduled appropriately and with the proper sub-specialty.

Accurately prepares add on charts. Obtains necessary notes, reports and results from referring providers.

Communicates the necessity of diagnostic testing films and reports needed for the appointment as appropriate. Possesses strong customer service skills.

Ability to listen effectively to maintain patient confidence and trust. Ability to effectively communicate in both a verbal and/or written manner with patients, providers, co-workers and management. Knowledgeable in all aspects of insurance referrals.

Obtains necessary insurance authorizations from primary care offices as needed. Informs patient of authorization responsibilities as appropriate. Documents authorization information in EPIC.

Accurately registers all patients; proficiently obtains and enters all demographic and billing information; properly documents notes in account. Consistently identifies when referrals are required, submits appropriate requests to the authorization team and/or notifies patients to obtain. Knowledgeable in current billing information/plans and office billing protocols/policies.

Keeps up to date information regarding participation and referral information. Routinely documents the reason for the appointment, referring MD and all necessary information requested by secretarial and patient care staff. Uses appropriate triage questions to determine appointment urgency. Consistently reminds patients to bring insurance cards, co-pays and any reports, notes or imaging scans (as required). Effectively and consistently communicates office policies with patients:

Par vs. non-par insurance and thoroughly explains options self-pay, payment due and thoroughly explains options, liability and/or school insurance and thoroughly explains options on Health Exchange, par vs. non-par and thoroughly explains options willingly. Performs other assignments and duties as requested by supervisor and does so in a complete manner.

Other duties and tasks as needed and directed by Supervisor or Team Leader.

Minimum Qualifications:

High school or equivalent and two years of directly related medical secretary/office experience. Will consider equivalent combination of education and experience.

Preferred Qualifications:

Familiarity with EMR (Epic) and Orthopedics.

M-F 8:30 am - 5:00 pm

They must meet the daily production metrics designed to achieve higher membership retention. The Senior Call Center Retention Representative conducts telephonic outreach to members and serves as a liaison between the member and the different Fidelis departments and agencies. They must be able to effectively explain, communicate, and assist with all Fidelis Care products with expertise in the long term care, senior programs and HARP requirements. It is the responsibility of the Senior Retention Call Center Representative to ensure compliance with all regulatory, audit and corporate policies. In this position the Senior Call Center Retention Representative will provide account management services for long term care, senior programs and HARP members. * Provide member resolution by researching, analyzing and documenting inquiries regarding program eligibility. Answer application and/or service questions regarding the programs and services in order to maintain/attract membership. Conduct outreach and follow up calls to educate members about Fidelis Products and serves as a liaison between the member and the different Fidelis departments and agencies. * Ability to meet and exceed quality assurance standards. * Ability to undergo rigorous internal training and have complete command of the enrollment and sales process, all Fidelis Care products, the competitive environment and successfully pass test(s) as required(with a minimum 85% score)with no more than 2 attempts, that will demonstrate a level of proficiency * Have the ability to conduct a needs based analysis to better understand the best course of action based on those needs and be able to answer product feature and benefit questions and provider network questions for members. * Develop and maintain relationships with existing members by providing guidance and assistance throughout the year. Demonstrate passion for members by identifying unfulfilled needs and providing necessary education and assistance to promote the value and benefits offered by Fidelis Care. Modify delivery skills accordingly to overcome objections and retain members. Identify solutions to issues and concerns. * Document all interactions in the appropriate system (Sales Force, Facets) including marketing leads. Track and input interaction taken as a result of each communication in order to ensure all member accounts correctly reflect activities performed. * Input, update and create member information on databases in order to maintain customer accounts. Utilize computer systems to perform administrative functions such as Sales Force. * Job performance requires fulfilling other incidental or related duties as assigned including assisting and training others, and performing duties of higher rated positions from time to time for developmental purposes Educations/Experience: * High School Diploma required. AA/AS - Associates Degree preferred. * Three to five years Customer Service experience required. * Three to five years of Customer Service in Healthcare experience preferred. * Proficiency in Microsoft Office: Excel, Word, Access; Lotus Notes; Internet. * Proficiency in one or more languages other than English.
