Summary of Duties and Responsibilities:
The Practice Supervisor position supervises support staff of the health center under the direction of the Practice Administrator. This position is responsible for coordinating staff's schedules and overseeing staff's training development.
The Practice Supervisor supports the development and implementation of programs, policies, procedures, and process improvements in collaboration with the Practice Administrator. The key focus of the Practice Supervisor is to support the health center's quality improvement and productivity goals are met by supervising staff to ensure timely and accurate delivery of services. Decision-making responsibilities are expected.
Primary Duties and Responsibilities:
Maintains open communication with Providers and support staff of the health center to troubleshoot situations that may arise between the health center and support staff. Provides feedback to the Practice Administrator.
Coordinates support staff's work schedules and daily assignments including managing Provider's patient appointment templates, blocking patient schedules, arranging coverage for vacation and sick days, and requests resources pool staff as appropriate. Reviews, verifies, and/or edits support staff's and Provider's timecards and finalizes timecard with approval in accordance with policy. Hire, train and supervise personnel to assure efficient workflow of the department(s). Evaluate performance.
If necessary, monitor progressive discipline and recommend termination. Manage departmental workload by assigning/reassigning duties and responsibilities as required to accommodate changing priorities and conditions. Contributes as a meeting leader in team huddles to provide work-flow observations.
Facilitates team meetings in the Practice Administrator's absence. Serves as the health center's first point of contact to investigate patient concerns in cooperation with the Compliance Officer or Safety Manager. You will assist with the health center's medical emergencies or codes as directed by the Provider.
Serves as the primary resource as an on-site trainer for the medical staff in the electronic health record (EHR) program. Oversees staff's training development is on schedule and arranges follow-up training as needed. Ensures adequate inventories for the medical, dental, pharmacy departments are maintained and is responsible for ordering supplies with the Purchasing Coordinator following the department's purchasing procedures.
Oversees front office financial procedures and processes are completed accurately by support staff. Responsible for end of day collections are secured and travels to the bank for change as needed. Corrects patient's insurance claims found on error reports to ensure timely filing and payment.
Sets up patient payment arrangements or deferrals for the billing department. Direct and control the functional operation of the department. Support and maintain Variety Care personnel, finance, and safety policies and procedures.
Foster an atmosphere within the department that promotes quality service to Variety Care patients and internal customers through active listening, attention to accuracy and personal responsibility for business outcomes. Supports Variety Care's accreditation as a Patient-Centered Medical Home and our commitment to provide care to all Variety patients that is Safe, Effective, Patient-Centered, Timely, Efficient, and Equitable. Provides leadership and work with all staff to achieve the goals of the "Triple Aim" of healthcare reform-to improve the experience of care, improve health outcomes, and decrease healthcare costs Trouble-shoot day to day work-related or staffing issues and provides back-up for all support staff position reporting to the Practice Administrator. Performs other duties as assigned.
A high school diploma or GED is required. Possesses legible handwriting, basic mathematical and computer skills.
Ability to use or willing to learn to expertly use electronic health records software. Ability to maintain and handle the confidentiality of patient and staff information. Ability to interact and communicate effectively with individuals at various levels both inside and outside the organization, often in sensitive situations.
Ability to withstand varying job pressures and organize and prioritize related tasks. Ability to work in an active, multifaceted and sometimes stressful environment. Must be able to provide professionalism, integrity, responsibility, and dependability.
Associate degree or two (2) years of supervisory or leadership role is highly preferred. Healthcare certifications or licenses are a plus. Bilingual and fluent in English and Spanish is preferred.
Must be able to lift 25 pounds. Ability to assist patients on to and off exam table/chair when asked or directed. Ability to sit, walk, bend, lift, and remain on feet for extended periods of time
