The Practice Manager will have oversight of the ObGyn and Urogyn clinics for Mt. Auburn Hospital in Cambridge, MA.
This role is will be located in close proximity to the hospital and offers free onsite parking.
Job Description:
Reporting to a Director of Practice Operations and working in close collaboration with the Medical Director and/or provider staff, the Practice Manager is responsible for the daily operations of physician, CNM and NP practice with a commitment to providing the highest quality of service to patients and a collaborative work environment for staff. Responsibilities may include practices with a rotation of residents and/or fellows, overseeing multiple practices, or complex multi-specialty practices.
Essential Duties & Responsibilities (including but not limited to):
- Manages the practice operations with a commitment to providing the highest quality of service to patients. Ensures that all patient care & administrative functions are completed in a compliant, efficient, and timely fashion. Improves and maintains patient access.
- Partners with the Group Practice Director, to establish, implement, and monitor office policies and protocols. Participates in the planning and implementation of practice goals and objectives. Develops and enhances workflow mechanisms to increase office efficiency.
- Responsible for performance management of assigned staff: conducts evaluations, collaborates with Human Resources and Group Practice Directors to address performance gaps, and engages in disciplinary action, if required.
- Responsible for cultivating a work environment marked by collaboration, teamwork, respect, and professional development. Identifies training needs for assigned staff and assists with training to ensure staff proficiency.
- May partner with hospital clinical and administrative leadership on rotations of residents and/or fellows through practices. Including management of on-going clinical trials.
- In collaboration with the physician and administrative leadership, plan and develop departmental goals, educate the practice team about these goals, and operationalize them.
- May oversee practices across multiple sites or complex multi-specialty practices, which includes but may not be limited to, collaborating with community sites, managing vendor relationships, and partnering with other hospitals/healthcare institutions.
- Responsible for screening and selecting potential candidates for open positions. Manages all processes related to hiring, training, orientation, and onboarding of both temporary and regular staff.
- Serves as the principal resource on all operational matters. Monitor providers' schedules and uses independent judgment to make adjustments based on workflow.
- Has full responsibility for planning and monitoring budget matters. Identifies revenue opportunities and analyzes variances.
- Approves/processes weekly payroll using the Kronos time keeping system. Manages and interprets pay policy practices for exempt and non-exempt staff.
- Monitors the revenue cycle process to ensure compliance with data collection and entry, co-pay management, charge entry, referrals, etc.
- Assures proper maintenance of practice, including ordering equipment, services, office, and medical supplies. Monitors invoices for accuracy. Maintains close contact with Hospital departments, outside vendors, and property management to ensure the equipment and site are in safe working condition.
- Addresses patient concerns, complaints, or billing issues in an effective manner, ensuring quality support services are provided.
- May provide coverage by Handling telephone calls for the physicians and taking steps to locate covering physicians for any patient emergencies (uses own judgment in determinations regarding patient emergencies and need to locate physician).
- Supports and contributes to marketing strategies for the practice as it relates to new patient business.
- Facilitates continuing education and training/development for all support staff and providers.
- Conducts staff meetings and attends organizational meetings. Ensures that there are opportunities for communication and feedback. Follows through on any outstanding issues and reports findings.
- May assist the Division Chief with oversight, coordination, and administration of division-related matters.
Minimum Qualifications:
- High school diploma.
- Three to five years experience in a physician's office, working as a medical secretary/clinical assistant. Some management experience is helpful.
- Knowledge of medical billing. Knowledge of terminology. Positive and engaging interpersonal skills. Ability to teach and monitor staff of the practice.
Physical Requirements & Environment:
- Normal office environment.
- Some exposure to patients and related hazards when performing procedures such as phlebotomy.
