The Practice Manager III partners with clinical leadership in dyad model to ensure the efficient and effective operations of one or more clinics/practices with 25 or more staff members and/or complexity operations score 3 for hospital or office-based specialties. Provides overall supervision of staff and oversight of all aspects of operations including customer service, budget, risk management, and compliance with organizational and ambulatory care policies, regulations, and standards of care. Accountable for personally monitoring and engaging team members and other resources to improve financial performance, quality, patient experience, and team member performance. The Practice Manager III in conjunction with the Executive Director, Business Operations provides the management of the day-to-day operations while creating a positive work environment. This individual will provide operational direction and oversight of their assigned region of the organization to ensure the accomplishment of objectives and continued success.

Required Qualifications:

  • 3 years of supervisory experience

  • 3 years of healthcare experience

  • Bachelor's Degree - 7 years of Practice Manager experience is acceptable in lieu of a degree

Duties and Responsibilities:

  • Hire, train/onboard, supervise, coach/develop all non-provider staff to ensure the clinic operates in an efficient manner and that the patients receive high-quality patient care and a positive patient experience.

  • Create and maintain employee schedule based on clinic budget and patient volumes. Review and approve any staffing model change by clinic managers and schedule PRN employees across your assigned clinics.

  • Establish collaborative relationships with the providers as the clinical leader.

  • Ensuring staff, clinic leads, and clinics managers are completing daily tasks of the clinic such as clinic and front office work queues and opening and closing duties.

  • Completes regular facility walk throughs of clinics and timely report any issues using the Help Desk.

  • Ensure staff compliance with company policies and procedures and state and federal laws and regulations.

  • Effectively communicate new policies, procedures and workflows and ensures that they are properly implemented and adhered to by all employees and all clinics.

  • Monitor clinic activity and patient flow to ensure efficient and effective patient care. Work to establish processes to smooth patient volume and reduce wait times.

  • Maintain adequate levels of medical and office supplies in accordance with budget and established inventory management levels.

  • Complete or ensure completion of timely monthly inventory of supplies of all locations within the region.

  • Understand and ensure clinic performance at or above Company benchmarks for all Velocity Urgent Care Key Performance Indicators (KPIs) such as Net Promoter Score and Patient Throughput. Effectively communicate KPIs and work with individual team members to ensure that staff understand the "why".

  • Actively participate in monthly clinic performance meetings with the Leadership Team to discuss clinic operational and financial performance.

  • Track and hold employees accountable for absenteeism and tardiness adhering to our Time and Attendance Policy and Corrective Action Policy.

  • Investigate and resolve patient and staff complaints in a timely manner and escalate issues as needed. Utilize Calibrator as a tool to improve patient experience and NPS.

  • Coordinate and maintain positive relationships with clients for employer paid services and ensure their visits meet the expectations and needs of the contract. As needed, maintain a tracker to assist with the monitoring of the clinics performance as it relates to employer requirements.

  • Maintain a positive work environment that embraces the company culture and fosters employee engagement and retention.

  • Support staff communication through daily huddles and regularly scheduled meetings, including all team members.

  • Ensure any conditions or situations that could hinder the ongoing operations of the clinic are addressed promptly.

  • Coordinates grassroots market opportunities for assigned clinics.

  • Complete various special projects.

Job Summary

Clinical experience and leadership experience in ambulatory care environment preferred. Master's degree preferred.

7 years Practice Manager experience is acceptable in lieu of bachelor's degree.

Successful completion of CMOM course required within 18 months of hire. CMOM certification preferred.
