JOB SUMMARY:

The Practice Manager is accountable for the successful day to day operations of the medical office including meeting profitability and provider and patient satisfaction goals. This individual will support market growth and development. The Practice Manager takes a service and solution-oriented approach, addressing issues and removing barriers for staff to drive successful execution. This individual maintains strong foundational knowledge of the systems, operations, regulations and applications associated with managing a physician practice.

QUALIFICATIONS:

  • High School Diploma or equivalent required; Bachelor's degree preferred.

  • Minimum 3 years of practice management experience

  • Previous experience managing practice staff

  • Previous experience in billing and collections

  • Great customer service and outstanding personality must deal tactfully and professionally with patients, families, staff and physicians.

Occupational Exposure:

Category I exposure to bloodborne pathogens, frequent exposure to chemical hazards.

RESPONSIBILITIES:

While this role will be dynamic in nature, key responsibilities and expectations of the position include:

Operations

  • Oversees and manages the daily operations of the physician office including staff scheduling, cash reconciliation, charge entry, and operational checks and balances.

  • Monitors and enforces cost effective policies and procedures for clinic including billing, insurance, credit/ collections, EMR documentation, staffing, and overall operational efficiency.

  • Maintains efficient telephone triage, appointment scheduling, registration, and patient flow and discharge procedures to enhance patient sati faction and physician productivity.

  • Provides recommendations and follow up actions to operational inefficiencies.

  • Provides monthly reporting with recommendations or action plans on any issues; interpret financial reports/data to effectively manage the office.

Finance, Billing and Collections

  • Manages day to day requirements for participation in Medicare, Medicaid, and commercial health plans. Resolves, or oversees the resolution of, problems related to participation, payment and/or client issues with the various health plans.

  • Posts all charges from office, hospital and procedure services.

  • Researches all information needed to complete billing process including obtaining charge information from physician.

  • Maintains solid understanding of coding and third party requirements.

  • Posts all insurance and patient payments.

  • Assists patients setting up approved payment plans.

  • Provides fee back and reports regarding physician coding and charge documentation practices.

  • Ensures A/R is optimally liquidated, denials are minimized, refunds are issued, and customer recovery service is conducted appropriately.

Staff Management

  • Supervises and manages practice staff including hiring, training, evaluations, discipline/ termination and staff/ physician matters.

  • Advises physicians on hiring decisions and termination of employees.

  • Ensures office staff treats patients with courtesy and respect.

  • Arranges and maintains daily staffing schedules and vacations, records of sick leave, and absences.

  • Conducts staff meetings on a monthly basis.
