Provides support to a high-volume Primary Care practice by performing administrative functions. Demonstrates and provides exemplary customer service that is friendly, helpful, and reduces anxiety to all patients, peers, physicians, and NWH departments. Effectively uses various computer systems, and is able to learn new programs as appropriate. Answers multiple telephone lines: takes calls, screens, relays messages, and/or provides information to caller. Works within the electronic medical record for scheduling patients and communicating with others within practice. Processes requests for information/medical records according to guidelines. Updates existing patient information with strict attention to detail and maintains patient privacy. Schedules appointments within the department. General practice tasks as assigned by Practice Specialist and Practice Manager.


  • High school graduate or equivalent, Associate's Degree preferred


  • Minimum two-years medical office experience

  • Ability to type 60 words per minute

  • Proficiency in word processing, data entry, and general PC based applications required

  • Knowledge of medical terminology required

  • Proficiency in communication - verbal and in written

  • Demonstrated evidence of:

o effective communication skills

o ability to problem solve

o ability to get along with others

o ability to confront issues appropriately

o ability to handle confidential and potentially sensitive information

VIEW JOBS 9/11/2020 12:00:00 AM 2020-12-10T00:00 GENERAL OVERVIEW: This position provides reception, secretarial and customer service support in an ambulatory practice setting. This highly visible position plays a vital role in supporting the hospital's mission in delivering quality patient care and outstanding customer service. SUPERVISION REQUIRED: Works under close/general supervision and according to established policies and procedures and in accordance with specified and detailed instructions. MAJOR DUTIES AND RESPONSIBILITIES: * Responsible for greeting customers in an appropriate, timely, pleasant and professional manner. Will check each customer into the office, and update any demographic information, if appropriate. Responsible for reminding new patients to bring appropriate medical record information to the initial appointment. * Responsible for answering phones, screening calls, and handles all appropriate situations. Will be responsible for directing to appropriate individual or taking accurate messages. May require sensitive handling of patient and physician calls. * Schedules all patients' appointments, either over the phone or in person, possibly including referrals. Performs all clerical tasks related in doing so, including, but not limited to documenting all appointment times and physician and providing all of the information to the patient in a clear, concise manner. Confirms patient visits and coordinates visit disposition via session summaries detailing walk-ins, no-shows and cancellations. Informs patients of any existing appointment delays and provides approximate wait times. * Provides information/instructions to patients regarding hospital and departmental procedures. Will arrange escort or interpreter service if necessary. * Coordinates the site-specific patient intake forms and forwards to the appropriate clinician. If appropriate, ensures that medical records are in order for the daily appointment schedule. * Maintains primary care service standards. Adheres to all hospital/departmental policies concerning patient confidentiality and all applicable HIPAA requirements. * Ensures timely completion of practice related forms. * Communicates with physicians in a professional manner. Obtains pertinent and accurate information from the patient and communicates this information to the physician. * Works to establish and maintain good relationships with fellow employees and is an effective team player. * Completes core office activities including but not limited to filing, copying and faxing in accordance with established policies and procedures and in an appropriate and timely manner. * Completes appropriate ancillary requisitions, such as lab or radiology or each test ordered by physician or nursing staff. Schedules radiology appointments in Percipio. 10. Assists in training new secretarial staff when requested * Adheres to all hospital/departmental policies including attendance, punctuality, appearance and conduct. * Performs all other duties as assigned. FINANCIAL/REIMBURSEMENT RESPONSIBILITIES: * If appropriate to site policies, collects patient co-payments and outstanding balances. * Directs patients with billing/financial inquiries to the appropriate resources for resolution * Completes all BICS/IDX functions related to billing on a timely and complete fashion * Facilitates ICD-9/CPT-4 billing related coding under the supervision of a clinician SUPERVISORY/TEAM LEADER RESPONSIBILITIES: None, but may be called upon to assist in training or supporting junior staff. OVERVIEW OF REQUIRED COMPENTANCIES AND SKILLS NECESSARY IN THIS POSITION: * Excellent interpersonal skills * Proven track record in delivering outstanding customer service * Excellent typing/keyboard skills * Excellent organizational skills. * Knowledge of medical terminology * Computer literacy; proficiency in hospital scheduling systems, MS Word and Excel a plus * Excellent telephone skills * Ability to work in a fast paced environment * Computer literacy/data entry skills. * Ability to prioritize work and multi task in a hectic environment * Familiarity working in a hospital or ambulatory care setting. * Proven problem solving ability LEVEL OF EDUCATION REQUIRED: Associate or Bachelor's Degree preferred.
