Practice Administrator

Scope of Responsibility:

The practice administrator will be responsible for ensuring multiple physician practices achieve annual operational and financial goals.

JOB SUMMARY

Administrator proactively anticipates, plans, organizes, and directs the operations of assigned practices and areas of responsibility to ensure the highest quality care and services are provided in the most efficient manner. A strong focus on identifying, developing and executing strategic opportunities to increase access and drive revenue while meeting compliant regulatory standards. In addition, the practice administrator will oversee practice managers, supervisors, coordinators and leads to ensure efficient clinic operations and flow through the application of standardized processes and best practices when appropriate.

ESSENTIAL FUNCTIONS

Utilizes quality scorecards/dashboards for accountability standards and to identify high performing practices and individual providers to develop best practice workflows and processes to support all practices. Supports practices with in-depth workflow and process evaluations and develops action plan to improve deficient workflows/processes. Works collaboratively with practice managers to ensure staff are properly trained, consistently performing workflows/processess accurately and developing culture of striving for quality outcomes through continuous quality improvement.

Facilitates stewardship and financial responsibility with a focus on productivity, revenue enhancement, and cost control, to meet budget expectations. Ensures compliance of all revenue cycle policies and procedures with a focus on benchmarking comparisons and staff accountability. Ensure lines of communication are sound with physicians and mid-levels regarding contractual agreements, quality measurements, and financial goals.

Provides the necessary leadership, direction and documentation to effectively supervise and motivate staff, and promotes a 'team' approach to problem solving and goal setting within assigned areas. Maintains professionalism and excellent communication within the practice and between the practice and other practices, hospitals, and entities. Counsels and/or supports practice managers in counseling employees regarding employment, performance, promotion and termination in accordance with Human Resource policies. Remains accessible to staff and providers, highly visible and on site frequently.

Develops a strategy to handle new and varied tasks by initiating and conducting assessments to determine appropriate interventions, as well as conducting research and identifying resources to make recommendations for successful completion of assigned projects.

Oversees the patient experience, including appointment scheduling, timely and appropriate management of telephone calls, waiting room experience, work flow during visits, referral management and translation services. Creates actions to improve patient satisfaction and respond to patient concerns. Creates strategies to improve operational efficiencies.

Required Minimum Education:

Two year associated degree in healthcare or related field

Preferred Education:

Four year Bachelors degree

MINIMUM QUALIFICATIONS

Minimum Years and Type of Experience:

At least three years of healthcare management experience with two years management in multiple physician practices or physician networks in multiple practice locations preferred.

Other Knowledge, Skills and Abilities Required:

Financial analytical skills to generate and analyze financial and billing reports to assit with decision making and reporting. Demonstrated expertise in physician office billing operations; including working knowledge of ICD-10 and CPT coding, medical terminology, and knowledge of third party reimbursement procedures, operations and regulatory issues.

Other Knowledge, Skills and Abilities Preferred:

Strong software skills, including Microsoft (MS) Office Suite and Practice Management; experience with Electronic Health Record (HER) applications preferred.

He/She is also responsible for achieving the annual operational and financial goals of the practice. In addition, this position has oversight of the practice lead and employees to ensure efficient operations and workflows for patients, providers, and employees through the application of standardized processes and best practices. (To determine Practice Manager 2 designation, practice leadership has the discretion to consider scope and complexity based on Region such as: Patient Centered Medical Homes, Rural Health Clinic status (geographic distances between practices), laboratory, diagnostic services, surgical services, radiology, etc.) ESSENTIAL FUNCTIONS Supervises and motivates people by promoting a team approach to problem solving, team development and goal setting within assigned areas. This includes management of supply chain activities including the ordering of supplies and maintaining inventory, while adhering to departmental budgets, as well as processes all invoices and bills for the office. Functions as a key liaison for all new provider integration activities for the practice(s). Assists in the transition process for onboarding new physicians and APPs. Manages all revenue cycle processes, including work queues, copays, daily cash drawer, bank deposits, coding compliance, etc. Meets with Practice Administrator and MHP COO to review data trends and develop/adjust strategic priorities. Reviews applicable practice data and identifies variances. Analyze financial and billing reports to assist with decision-making and reporting. Participates in planning and budgeting preparation and analysis. Coordinates support functions to ensure compliance with Joint Commission, where applicable, and other required regulatory agencies.
