You will join a brand new team that is at the center of Zillow's efforts to improve the future of home selling for our customers. This team will be responsible for establishing and developing best-in-class operations for residential real estate transactions, central to our mission to make the process of buying or selling a home a consumer-friendly, state of the art experience that can be launched with just the click of a button.
About the role
The Recording Specialist is responsible for using our electronic recording system or mail away recording process to send, track, and confirm proper recordation of mortgages, deeds, lien releases, etc. Ensuring that each document is recorded quickly is a critical. This position will track any rejected recording documents, fully understand why the recording package was rejected, and create documentation to ensure that recording issues are not repeated.
An ideal candidate has experience managing documents and checks in a complex, high-volume organization. Part of a team that does not let work pile up. In this role a keen eye for details, , working with a sense of urgency because time is of the essence, and strong accountability to customer service.
Responsibilities include but are not limited to:
Combine documents into a recording package.
Perform quality control review of all documents in the recording package.
Complete all documents to perfect the recording package to ensure quick recording
Record documents through SimpliFile electronic recording platform
Ship packages of recording documents to local county offices
Track and continually follow up with counties and other government agencies to obtain recording confirmation
Log recordation data into the system
Manage daily work activity using tasks generated in the operating system
Work with funders to void and reissue recording checks
Assist with the creation of training material to provide feedback loop to Escrow Administrators and Escrow Officers
Log on to county recording websites to compile recording requirements for each county
Follow all operating procedures and assist in developing or updating SOP documents
This role has been categorized as an Office position. "Office" employees regularly work at an existing ZG corporate office for approximately 80 to 100 percent of their time each month. Employees must live within reasonable commuting distance of their designated ZG office. ZG has not defined a reasonable distance, and expects employees will use judgment in determining this for themselves and understand the implications re: time commitment and cost of daily commute.
Who you are
You have worked for a large title underwriter, title agent, or mortgage lender. You are very focused on customer satisfaction. You have interacted with consumers in resolving escalated issues and you are very comfortable talking on the phone. You know your main job is to make our consumers happy even while working out complex issues. You carry yourself professionally and represent Zillow Offers and Zillow Group both internally and externally.
Qualifications:
Great phone etiquette and strong desire to help resolve client issues
Working knowledge of closing and legal documents
Possess an understanding the recording process
Experience working in a centralized high-volume title or lending operation
Self-motivated with an ability to multitask
Familiarity with ResWare helpful
High school degree; paralegal degree a plus
